The Medical Receptionist is the first point of contact for patients, who works closely with the practice manager, plastic surgeon as well as the rest of the team to ensure our practice operates in an efficient manner. This role involves providing exceptional customer service, managing appointments, and ensuring the smooth operation of front desk activities. The Medical Receptionist plays a vital role in creating a welcoming and professional environment, offering administrative support, and ensuring patients receive accurate information regarding services, consultations, and procedures.
Key Responsibilities:
* Greet and welcome patients, ensuring a friendly and professional environment.
* Answer phone calls, respond to emails, and manage procedure enquiries with a high standard of customer care.
* Act as a point of contact for patient queries, ensuring they receive timely responses and follow-up on any concerns.
* Schedule patient appointments, consultations, and follow-up visits, coordinating with the surgical team and other clinic staff.
* Provide information to patients about procedures, policies and pre/post-operative care instructions.
* Ensure patient details, medical history, and consent forms are accurately entered and updated in the system.
* Assist in managing patient waiting times and ensure smooth patient flow throughout the day.
Administrative Duties:
o Manage the front desk, ensuring the reception area is organised and well-presented.
o Manage incoming and outgoing mail, emails, and faxes related to patient correspondence and operations.
o Process payments for consultations and procedures, issuing receipts and managing invoicing as needed.
o Maintain confidentiality of patient records and personal information in compliance with privacy regulations.
o Prepare patient files for consultations and surgery, ensuring all documentation is complete.
o Support the team with administrative tasks such as data entry and reporting.
Skills and Qualifications:
o Previous experience as a medical receptionist, ideally in a plastic surgery or aesthetic practice.
o Strong customer service skills with a focus on patient care and satisfaction.
o Excellent verbal and written communication skills.
o High level of organisation and attention to detail.
o Proficient in using medical practice management software and basic office programs (e.g., MS Office).
o Ability to handle confidential information with professionalism and discretion.
o Knowledge of medical terminology and procedures, particularly in plastic surgery, is an advantage.
