About the Division The Victorian School Building Authority (VSBA) is part of the Department of Education.
Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s.
The VSBA delivers on three key priorities: • to build and expand the schools and early childhood services Victoria needs for its rapidly growing population • to reform how we maintain and modernise school buildings and grounds • to engage local communities, giving them more say and keeping them better informed about new schools and major upgrades.

Asset Management Division The Asset Management Division is responsible for setting VSBA's strategic asset direction, developing and implementing programs that address accessibility, inclusion and accommodation initiatives, and building school capability and capacity to manage assets.
The Maintenance Delivery Branch oversees maintenance projects, encompassing planned maintenance, as well as the upkeep of hydraulic fire safety systems and shelter-in-place facilities and other programs.
Additionally, it ensures that secondary school campuses are equipped with suitable facilities to accommodate mental health practitioners, aligning with the government's commitment for this program.
About the Role The role is in the Commercial and Programs Unit; Maintenance Delivery Branch; Asset Management Division which provides multiple support services to the Maintenance Delivery and Programs Branch delivery programs.
The position is essential to assist the Maintenance Delivery and Programs Branch by providing essential administrative and project coordination assistance and ensuring clear communication and expectations among stakeholders.
The role also requires collaboration with internal teams for program implementation and maintaining effective relationships with a range of stakeholders to address risks and issues.
Ideal candidates will have a strong background in program management, building or construction, and experience in working with diverse stakeholders to achieve project goals.
Capabilities The candidate must have: * Experience in supporting the management of programs, particularly in maintenance or construction projects, ensuring smooth project execution from planning through to delivery.
* Ability to communicate effectively with a range of stakeholders, ensuring alignment and addressing issues as they arise.
* Expertise in coordinating project logistics, and documentation to ensure the successful delivery of projects.
* Experience in identifying and addressing project risks, issues, and challenges proactively to maintain progress and minimize delays.
* Ability to work collaboratively with a range of stakeholders to achieve project goals and ensure effective delivery.
The key responsibilities of this role are to: * Provide administrative and project coordination support for the Maintenance Delivery and Programs Branch, including preparing reports, handling correspondence, scheduling meetings, and managing project documentation.
* Facilitate clear communication and expectations between all project stakeholders, including internal teams, contractors, consultants, and school representatives.
* Prepare high quality project reports in a timely manner.
* Collaborate with project teams to identify risks and issues, working to mitigate or resolve them promptly, ensuring minimal disruption to project progress.
Desirable Qualifications and Experience A degree or diploma in Project Management, Building and Construction, Engineering, or a related field.
1-3 years of experience in project coordination, construction, or program management, preferably in the education or maintenance sector.
