Role Overview
The Administration Officer is responsible for administrative related duties such as processing invoices, timesheets, ordering Personal Protective Equipment, travel bookings, data entry, records management and maintaining various databases. The role is also responsible for the provision of reception services, focussing on a high standard of customer service including answering and directing general phone enquiries and directing visitors to the appropriate personnel within the organisation.
Key Responsibilities
1. Provide efficient administrative support service including meeting coordination, distributing mail, answering phone enquiries, travel bookings and word processing confidential and complex documents;
2. Coordination of rosters and call outs of casuals;
3. Ensure the Whyalla office is managed in accordance with documented procedures including timely production of ship's accounts, timesheets and other administrative documentation including any data collection and statistical reports;
4. Ensure that all records management functions are carried out and that appropriate records are maintained accurately and in a timely manner;
5. Data entry of various accounting information as required; and
6. Collating and distribution of Customs Listing and Cape Reports daily.
About you
Your skills and experience will include;
7. Diploma is Business Administration or equivalent level of skills and knowledge gained through experience;
8. Excellent communication skills, both written and verbal, including the ability to write reports, collate PowerPoint presentations and complex documents;
9. Attention to detail, particularly in relation to data entry;
10. Knowledge of Office products such as Outlook, Access, PowerPoint and Excel;
11. Well developed interpersonal and customer service skills; and
12. Effective time management skills.
