We have an exciting opportunity for a Facilities Co-ordinator to join our Workspace team, onsite in our Perth office.
Reporting to the Facilities Manager, the Facilities Co-ordinator will play an important role in providing prompt, efficient and reliable facilities support to our thriving and growing Perth office. This role will also manage the files and security processes, including providing a consistent approach to file closing, archiving of hardcopy files, safe custody, and off-site storage of original client documents. Our Perth office currently consists of around 145 staff and is continuing to grow.
Your responsibilities will include:
o Setting up rooms and IT equipment for meetings, events and seminars i.e. laptops, projectors and any AV set up;
o Liaising with the Events team in relation to internal events and their requirements;
o Setting up desks including IT equipment and cabling;
o Maintaining inventory of AV and WFH equipment, such as monitors, keyboards, meeting room PCs and headsets and liaising with the team to get these sent out or returned;
o Conducting daily morning floor walk to ensure the office is ready for operation;
o Managing security access card distribution and maintenance;
o Providing office tour for new starters;
o Maintaining internal meeting rooms including AV equipment, stationery and room presentation;
o Monitoring and completing service requests submitted through Jira;
o Logging jobs with building management;
o Co-ordinating the secure bin pickup and delivery;
o Co-ordinating general office maintenance including changing photocopier toners, removing paper jams and minor odd jobs and repairs;
o Ensuring that all stationery cupboards are kept neat and tidy;
o Assisting with office moves and fit-out projects (possibly in other states);
o Preparing files for archiving or off-site storage;
o Managing the pick-up and delivery of files and safe custody;
o Preparing the safe custody documents and packets for storage; and
o Ensuring consistency in process for archiving and off-site storage processes.
About you
You will ideally have the following knowledge, skills and experience:
o Experience in a facilities, administration or similar role within a law firm or professional services environment;
o Excellent interpersonal and communication skills;
o Flexible and reliable with a ‘can do’ attitude and proactive approach;
o Strong organisation skills and the ability to prioritise deadlines;
o Ability to work autonomously as well as take direction;
o Strong working knowledge of Microsoft Office;
o Ability to work under pressure; and
o Professional work ethic.
