Job Title: Board & Committee Coordinator
About the Role:
This is a dynamic and impactful role where you will be at the heart of Board and Committee operations. You will coordinate calendars, schedules, and meetings to ensure seamless planning and high-quality execution.
You will support the Company Secretary and Deputy Company Secretary in preparing and circulating meeting papers through Diligent Boardbooks, while maintaining comprehensive records of meetings, decisions, and action items.
You will take ownership of maintaining statutory books, including registers of owners, Directors, and Officers, and ensuring timely and accurate statutory filings with ASIC.
Key Responsibilities:
* Maintain statutory books, including registers of owners, Directors, and Officers
* Ensure timely and accurate statutory filings with ASIC
* Administer the Corporate Governance Framework
* Update and maintain governance documents, such as Board Policies and Charters
* Act as liaison for stakeholders and facilitate effective communication and collaboration
* Support statutory records for audit inquiries
* Prepare reports and materials for meetings and events
* Assist in tracking and monitoring action items
Requirements:
The successful candidate will have experience with governance practices and board operations, giving them the ability to navigate the intricacies of this environment with confidence.
They will have strong organisational and time-management skills, enabling them to manage multiple priorities effectively while maintaining high standards of accuracy and efficiency.
Exceptional professional written and verbal communication abilities are essential, along with a keen attention to detail and a mature demeanor.
Proficiency in office software, including the Microsoft Office Suite, Google Workspace, Diligent (or equivalent portal), and other meeting management tools, is critical for success in this role.
Demonstrated problem-solving skills will allow them to address challenges proactively and effectively, ensuring smooth operations and support for Board and Committee activities.
