Job Description
You will provide support to the General Manager, Institutional Client Solutions. This role will be responsible for:
* Administrative and time management support to the General Manager, Institutional Client Solutions, and Co-Head of Investment Solutions.
* Team management support to the Institutional Client Solutions Team.
In addition to supporting the General Manager, Institutional Client Solutions and Co-Heads of Solutions, this role will also liaise with other teams within the Life and Solutions division and other divisions within the Challenger Group.
Key Responsibilities
You'll have a varied and impactful role, supporting the GM, Institutional Client Solutions, with limited support to the Institutional Solutions team and the Co-Heads of Solutions. Your ability to stay organised, manage multiple tasks, and build strong relationships will be key to your success.
* Diary & Email Management: Diary management including organising appointments, preparation of required meeting materials, room bookings, catering, and communication to internal and external stakeholders.
* Event Coordination: You'll organise key events such as Strategy Days, client workshops, recognition events, morning teas and handling all logistics, venue selection, and catering.
* Travel Coordination: You will handle all aspects of domestic and international travel for the team, ensuring every detail is meticulously arranged from flights to accommodations all in line with internal policy.
* Stakeholder Liaison: You'll be the point of contact for interstate colleagues, contractors, and tradespersons, as well as liaise with internal teams on client presentations and event logistics.
* Reporting & Presentation: Coordination of monthly sales activity reporting and, coordination of presentation materials for internal and external meetings and where required, coordination with marketing for presentation development.
* Expense Management: You'll process invoices and expense claims, ensuring timely reconciliation through internal systems.
* Project Support: Your role will also involve supporting the team with projects, data management, and liaising with the Events Team to coordinate internal and external events and functions.
* Technology Support: You'll be able to initially assist with any technology related issues. If you can't resolve, you'll be able to co-ordinate with the relevant technology teams to support.
Requirements
To excel in this role, you'll bring 3–5 years' experience as a Personal Assistant, ideally supporting a sales or financial services team, as well as:
* Strong organisational and time management skills with high attention to detail.
* Proficiency in MS Office (Outlook, PowerPoint, Word, Excel) and experience with Salesforce is highly desirable.
* Genuinely passionate about going above and beyond in role.
* Excellent communication skills, with the ability to build rapport and maintain relationships across teams.
* A proactive approach and the ability to anticipate needs and prioritise tasks effectively.
