About the role AGL is seeking an experienced Executive Assistant to support our Chief Financial Officer and Head of Strategy with professional administrative services and organisational support. This role will facilitate the effective planning and execution of AGL's business strategy and team activities, as well as a range of secretarial and administrative support functions. What you'll be doing Provide outstanding professional executive support to the CFO and Head of Strategy. Management of diaries, making optimum use of time and ensuring all support paperwork is provided prior to meetings and organisational deadlines are met. Oversee and coordinate functions and events within the Finance team including the annual finance conference. Play an active role with engagement activities across the Finance team (including but not limited to, assisting with all finance learning and development opportunities, social events and onboarding for new starters in the Finance Leadership Team). Being an effective liaison point between the CFO or Head of Strategy and the CEO's office, Executive Team, Executive Assistants and other business leaders. Coordinate requests for information from internal and external stakeholders and provide a professional first point of contact for all enquiries. Dealing promptly and comprehensively with all inquiries and correspondence, prioritising and referring them where necessary and personally dealing with them where this is possible. Providing comprehensive executive and administrative support including diary and email management for the CFO and Head of Strategy. Coordinating effective meetings by scheduling meetings, collating and distributing meeting agendas, providing confidential minute taking and distribution of follow up actions for the CFO Leadership Team. Managing complex and changing diaries, including scheduling, negotiating appointments and organising associated and supporting documentation. Making travel arrangements for the CFO & Head of Strategy including bookings and detailed travel itineraries. Maintaining systems for recording and storing information for the CFO Leadership Team. Preparing correspondence and briefing packs, reports and papers as and when required. General administrative duties including business expenses, reviewing staff reimbursements and allowances for the CFO Leadership Team, reviewing and coordinating payments – ensuring that these are within policy. Assist with official company events, as required. Providing advice and assistance to leaders and employees on the application of AGL's policy and processes. Building a cohesive team within the Executive Team assistants to promote a "one team" approach, organising career development workshops and mentoring junior assistants. What you'll bring to the table Extensive experience supporting senior-executive level leadership (Board exposure highly desired). Diplomatic, tactful and empathic approach with a high tolerance of ambiguity. Exceptional attention to detail and outstanding time management and organisational skills. Possess business acumen and awareness – handles queries (including timeframes) by considering AGL's wider business priorities. A self-leader with the confidence and ability to make timely decisions. Committed to confidential management of information. Demonstrated ability to work under pressure, prioritise and work to tight deadlines.
