The Village Administration Support role is responsible for providing administrative and clerical support to ensure the efficient operation of the village. This position plays a key role in maintaining effective communication, managing resident records, supporting village activities, and assisting the Village Manager in daily administrative tasks. We are seeking a casual or part-time Admin Assistant who is able to work around 10 hours per week. Key Responsibilities: Administrative Support: Assist the Village Manager with daily administrative tasks, including managing emails, scheduling meetings, and handling correspondence. Maintain and update resident records, including contact details, and other relevant documentation. Prepare and distribute village newsletters, notices, and other communication materials. Resident Assistance: Serve as the first point of contact for residents, addressing their queries and concerns in a timely and courteous manner. Assist residents with understanding and completing necessary forms and paperwork. Office Management: Manage office supplies, ensuring that the village office is well-stocked and organised. Handle incoming and outgoing mail, packages, and deliveries. Maintain the cleanliness and organisation of the village office and common areas. Event and Activity Coordination: Assist in planning and coordinating village events and activities, including liaising with vendors, arranging logistics, and promoting events to residents. Support the Village Manager in executing village-wide initiatives and programs. Qualifications and Experience: Certificate III in Business Administration or equivalent (preferred). Previous experience in an administrative or customer service role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. Skills and Attributes: Strong organisational skills with the ability to multitask and prioritise effectively. Excellent communication skills, both written and verbal. High level of attention to detail and accuracy. Ability to work independently and as part of a team. Strong interpersonal skills and the ability to build positive relationships with residents, staff, and stakeholders. A commitment to providing a high level of customer service.
