McArthur are currently seeking applications from experienced Program Officers to work with our client in their Canberra office.
Our client is a small team looking to expand due to the rapid growth of incoming projects. They provide a forum for councils, State agencies and other stakeholders to work together at a regional level to identify shared priorities, delivering important regional projects and better outcomes for communities.
The duties and responsibilities of this role will include the following:
Provide high quality and timely project support to staff and members, including but not limited to, Chief Executive Officer, Business Manager, Project Team members and Member Council's.
Support the Business Manager in the delivery of services and programs.
Ensure the support functions for the various programs are completed in a timely and accurate manner.
Develop project plans based on milestones and key deliverables.
Support the delivery of programs, which may include workshops, desktop research, reporting, reconciliations, marketing and liaising with key stakeholders.
Provide confidential administrative support to the Business Manager and Team Leaders including preparation of correspondence, reports, presentations and other essential documentation to a high standard.
Provide high level secretarial support including:
oSetting meetings, preparation and distribution of agenda, business papers and minutes.
oAttend meetings to take minutes and record actions arising.
oOrganise travel, accommodation, catering and venues were required
Maintain an effective paper based and electronic filing system ensuring adherence to documentation control policy and procedures, including culling, storage and archiving processes.
Assist with coordinating logistical functions for projects.
Determine, develop, and manage processes for administration and the flow of work for the Projects, ensuring streamlined and effective outcomes.
Manage acquittals and grant reporting processes.
Identify new program opportunities and write grants.
Essential Requirements
Demonstrated ability to produce high level and accurate professional documents such as reports, agendas, minutes and business papers, grant applications, project acquittals, letters of support.
Accurate and efficient typing skills with solid experience in utilising the Microsoft Office suite, in particular, Word, Excel and PowerPoint and use of electronic document management systems.
Highly developed organisational time management skills with experience in meeting deadlines, attention to detail and dealing with conflicting and varied demands.
Demonstrated high level written, oral and interpersonal communication skills with ability to problem solve, negotiate and liaise with various internal and external stakeholders.
Proven ability to exercise initiative and judgement, to demonstrate self-sufficiency, flexibility and confidentiality.
Demonstrated ability to adapt to change in the work environment due to technological development, changes in work procedures and organisational change.
Class C Drivers Licence.
Desirable Requirements
Relevant qualification in Business Administration/Office Management/Project Management and or equivalent level of experience.
Minimum 5 years' experience in supporting and working with senior executives.
Previous Local Government/Government experience in a similar role.
Demonstrated experience with organising events, planning or project management.
Experience with the use of the financial accounting software XERO.
Media engagement including managing social media channels, press releases and Ministerial correspondence
