Office Manager & Executive Assistant (Financial Planning) Are you a highly competent administrator?
Ballinger's is looking for an Office Manager & Executive Assistant to join our team and play a key role in operations, compliance, providing support to our directors and team success.
Ballinger's is a boutique financial planning practice located in Merewether, NSW.
We work hard to bring our clients and their families greater security, confidence and financial success by providing first class advice and support.
We are a small, close-knit team (5 advisers and 2 support staff) and we are passionate about (and love) what we do, making a positive difference in people's lives.
Many clients have been working with our founder for 3 decades.
About the Role
This role is focused on the day to day operations of the business, managing compliance for our AFSL, and helping our team to deliver exceptional customer service.
The ideal candidate will be comfortable wearing many hats (and changing them often!
), can work independently, great at keeping things running smoothly, can be given a problem and find solutions, and able to anticipate and provide support where it's needed most.
Key Responsibilities
Executive Assistant:
Assist with the compliance and administration for the business including our AFSL.
Manage Stephen Ballinger's calendar and tasks.
Assist in onboarding new clients and developing working relationships.
Liaise with fund managers, product providers, and key stakeholders.
Office Management:
Manage team workflows to support smooth operations.
Keep client records up-to-date and assist with meeting compliance requirements.
Manage IT requirements with our external specialist.
Manage relationships with service providers.
HR & Management:
Support the Directors with continuous improvement projects and helping with ensuring the wellbeing of our team.
Organise and run team meetings and manage projects.
Coordinate client events and initiatives (including "25 years in 2025").
Business Improvement & Compliance:
Drive various projects to grow the business.
Stay updated on financial planning administration, compliance legislation and processes.
Implement / maintain systems and technology to improve operations.
Xplan, SharePoint, Microsoft, IT systems, cybersecurity tools, etc.
Skills and experience
You have at least 4 years' experience in financial planning, working with AFSL's, accounting, and/or office administration; Attention to detail and accuracy; Excellent communication skills, both verbal and written; Strong organisational skills and ability to prioritise tasks; Ability to work as part of a team and independently (you are a self-starter); and Proficient with Microsoft Office.
