About the opportunity
TheSchool of Biomedical Engineering is welcoming applications for an EA & Project Officer to join the team to provide administrative support including planning and prioritising workload, ensuring efficient workflows, providing sound policy and procedural advice to a range of staff, students and visitors. Working closely with the School Manager and reporting to the Head of School (HOS), the successful candidate is expected to be the first point of contact representing the HOS as this role requires extensive administrative and organisational skills to manage detailed operational activities of the HOS Office on a day-to-day basis.
A proactive nature is essential to effectively support the needs of the HOS and ensure smooth operations. The successful candidate will be expected to be in office 5 x days a week.
Your key responsibilities will be to:
* provide broad, high level professional administrative/project management support to the HOS and effectively manages the general day to day office operations and administration activity
* develop and maintain relationships with key external stakeholders, to ensure their needs and requirements are fully understood by the HOS and that communications are dispersed in an appropriate manner ensuring confidentiality and quality of all correspondences
* provide administrative support to the HOS in exercising delegations relating to leave, travel, (where required) for the HOS including itineraries for local, interstate and overseas travel, in compliance with University policies and procedures
* explore administrative matters and prepares advice, recommendations and solutions related to specific projects, policies and operational issues, identifying and ensuring all relevant initiation and/or follow-up of necessary action under broad direction from more senior staff
* respond to a range of complex enquiries via telephone, email and in person, from staff, students, visitors and the general public regarding a wide range of the work area’s activities
* provide committee support such as agenda setting, room bookings and minute taking.

About you

* a bachelor's degree, certificate IV or diploma/Advance diploma in a relevant field or an equivalent combination of relevant training and experience
* administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector
* excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service, including the ability to engage in independent consultation with a wide range of staff in a large complex organisation and, as appropriate, with external parties
* proficient time and workload management skills with demonstrated ability to prioritise effectively
* manage multiple tasks meet deadlines and achieve required outcomes with keen attention to detail, and a demonstrated self-starting approach to work
* demonstrated experience in managing purchasing and invoicing via the use of University systems such as Concur and Unibuy
* demonstrated advanced computer skills in the MS Office suite with extensive diary management experience
* two to four years executive assistance or administrative experience (desired).
