We have an exciting opportunity for a Team Assistant to join our Sales Communities QLD team. This permanent full-time position is based in our South Brisbane office, with the added benefit of flexible working arrangements to balance time between the head office, project offices and home.
The Opportunity
As a Team Assistant, you will play a crucial role in enhancing Stockland’s brand and supporting the creation of a high-performing, collaborative team environment.
Your tasks will include:
Task Management: Organize and complete tasks, assist in organizing events, prepare presentations and correspondence, complete reports within set timeframes, draft letters, and manage emails.
Information Management: Collect and maintain files/records, correspondence, and project files for easy retrieval.
Administrative Support: Perform diary management, travel arrangements, stationery orders, timely invoice payments, word processing, expenses, organization of approvals, and provide solid administrative secretarial support including preparation of minutes, agendas, and reports.
System Maintenance: Assist in maintaining appropriate systems, procedures, and controls.
Stakeholder Interface: Provide a welcoming and helpful interface between the team and key stakeholders, representing Stockland in alignment with our brand and values.
Communication: Use excellent communication skills to liaise clearly with internal and external stakeholders, ensuring meetings are booked, events are attended, and reports/presentations are accurate and prepared by set deadlines.
About You:
We are looking for a highly organized individual with a proactive mindset and strong problem-solving skills.
The ideal candidate will have:
Previous experience supporting in an administrative function within a fast-paced environment such as real estate, property, construction, or a similar field.
Exposure to processing purchase orders and managing invoicing payments is a plus, though not essential.
Proficiency in using the full Microsoft Office 365 suite. Exposure to SAP or a similar enterprise system would be highly advantageous but not essential.
Demonstrated ability to take initiative, think on your feet, and solve problems effectively.
Strong communication skills to liaise effectively with various stakeholders.
Ability to manage multiple tasks and projects simultaneously, ensuring timely and accurate completion of all assignments.
