About the Company:
Our client is a leading developer of luxury multi-residential apartments, renowned for delivering some of SEQ's most well-known projects. Our client is seeking an experienced and proactive C-Suite Executive Assistant to support their senior leadership team in a fast-paced and dynamic environment.
The Role:
The Executive Assistant will provide high-level administrative support to our clients C-Suite executives, ensuring smooth operations across all business activities. This is a pivotal role requiring exceptional organizational, communication, and interpersonal skills. The ideal candidate will have at least 10 years of experience supporting senior executives, ideally in the real estate or property development sectors, and possess a thorough understanding of the demands and complexities of a C-Suite level position.
Key Responsibilities:
1. Executive Support:
- Provide comprehensive administrative support to the CEO, COO, and other C-Suite executives.
- Manage executive calendars, scheduling meetings, and ensuring alignment with business priorities.
- Act as a gatekeeper, handling communications, emails, and calls on behalf of the executives.
- Prepare, edit, and proofread reports, presentations, and other critical documents.
2. Meeting Coordination:
- Organize and coordinate executive meetings, including board meetings and leadership off-sites.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Arrange and coordinate travel logistics, both domestic and international.
3. Project Management:
- Assist in managing special projects, including overseeing timelines, deliverables, and budgets.
- Coordinate with internal and external stakeholders to ensure successful project execution.
- Monitor deadlines and follow up on outstanding tasks.
4. Office Management:
- Oversee general office operations and liaise with various departments to ensure the smooth running of daily activities.
- Maintain confidentiality of sensitive information, exercising discretion in handling high-level communications.
- Ensure the executives’ work environment is organized and optimized for productivity.
5. Stakeholder Relations:
- Build and maintain strong relationships with internal and external stakeholders, including clients, investors, and government agencies.
- Serve as the first point of contact for executives, representing the company professionally and maintaining its reputation for excellence.
Key Qualifications and Experience:
- Minimum of 10 years of experience in an Executive Assistant position, with at least 5 years at a C-Suite level.
- Strong experience in the real estate, property development, or construction industry is highly desirable.
- Proven ability to manage and prioritize multiple tasks, projects, and demands in a high-pressure environment.
- Superior communication skills, both written and verbal, with the ability to interact with stakeholders at all levels.
- Exceptional organizational skills with a keen attention to detail.
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential and sensitive information with discretion.
- Experience coordinating international travel and managing complex schedules.
