About the role Provide critical administrative and data entry activities to a multi-disciplinary team and help drive the continued success of the company. The role will help ensure the smooth running of day-to-day operations by undertaking a variety of tasks to support the NSW team as a whole. The ideal candidate should possess excellent communication skills, a friendly demeanor, and the ability to multitask efficiently. This role is office based on site in Circular Quay, Monday to Friday. You will be reporting into the Regional Business Manager, NSW. Key responsibilities Administration support – providing administrative support to the broader team including but not limited to: - Booking client lunches and organising client gifts - Booking flights and accommodation for work related travel - Meeting room management (sorts out booked rooms and finding rooms etc) - Assisting with general workflow and act as a conduit and support to all internal teams as required. Fees proposals: work with staff to generate fee proposals and liaise with clients to obtain signed copies. Internal/external events: liaise with internal/external stakeholders to manage in-house event logistics such as catering, AV set up etc. Reception duties: working with the Business Support Officer to manage in-house hospitality and reception. Greeting Visitors: welcoming clients and staff and direct them to the appropriate staff member or meeting. Administration Tasks: provide general/project tasks as required. We are looking for an experienced Administration Support Officer who has: Excellent communication skills: Strong verbal and written communication skills are essential for effectively interacting with visitors, colleagues and clients. Customer Service Orientation: A friendly and professional attitude with a strong focus on providing exceptional customer service with the ability to maintain strong relationships across the organization. Organisational Skills: Ability to multi-task and prioritize responsibilities and tasks in a fast-paced environment, the ability to work under pressure with a highly motivated, positive attitude and willingness to learn. Solutions Orientated: Show initiative and problem-solving skills in a collaborative and solutions orientated way. Attention to Detail: Must be detail orientated and able to maintain accuracy in tasks such as data entry and scheduling. Tech Savy: Proficiency in using office equipment such as multi-line phone systems, printers and copier. Knowledge of Microsoft Office Suite is required. Reliability: Punctuality and consistent attendance at the office are crucial for this role. Previous Experience: 2 years of previous experience in a business support/administrative or reception role is required.
