Senior Service Management Specialist (Information Management Systems Support Specialist) About the role: Digital Services and Security Department (DSSD) helps to keep Victoria safe by providing reliable, secure, and easy to use technology that enables our people to do their job, and our community to access our services.

Within DSSD, the Security, Information and Privacy Division (SIPD) are responsible for the strategic direction, governance of processes, provision of advice, stewardship and promotion of protective and cyber security, information and records management and privacy.
SIPD are seeking a dynamic VPS6 Senior Service Management Specialist (Information Management Systems Support Specialist) to report to the Enterprise Information Manager.
This role is responsible for supporting the implementation of an enterprise wide Electronic Document and Records Management System (EDRMS) and uplifting IM maturity and streamlining processes through modernisation to achieve greater efficiency.
The delivery of the RecordPoint/Records365 solution is a complex project with multiple and diverse user groups underpinned by state regulations and mandatory standards.
The responsibilities of this role are aligned with the Keeping You Safe: Victoria Police Strategy 2023-2028.

Your duties will include: * Providing technical expertise on the delivery of the IM Program of Work and ongoing management of RecordPoint/Records365 while embedding a culture of continuous improvement * Providing specialist advice to uplift process maturity and leveraging technology to modernise Victoria Police through best IM practices across the industry and government * Managing IM capability to ensure organisational and operational needs, milestones, key objectives and stakeholder requirements are successfully met * Significantly contribute towards the development, maintenance and continuous improvement of RecordPoint/Records365 in accordance with the internal operating and support model * Tenancy administrator for external file sharing tools to support onboarding, helpdesk/enquiries, troubleshooting, monitoring traffic/usage and reporting * Successful delivery of a document management workflow tool in the capacity of an administrator to support onboarding, helpdesk/enquiries, troubleshooting, enhancements, integrations and reporting * Providing strong support while engaging with internal stakeholders and other police jurisdictions and government agencies to modernise, streamline and standardise Victoria Police IM practices * Developing and enhancing IM procedures and guidelines aligned with relevant IM frameworks and standards * Translating business needs and requirements into workable, and sustainable technology solutions to support digital transformation * Working with our EDRMS Product Manager and IM Specialist to ensure continuity and consistency of quality IM services across the organisation.
As the successful applicant, you will have: * Demonstrated experience and knowledge of data, information and records management principles, standards and policies within the Australian government sector * Demonstrated a minimum of 5 years of experience in the administration of an EDRMS * Demonstrated experience in administering SharePoint Online * Demonstrated experience with a document management approval workflow tool * Demonstrated ability to lead and supervise a small team of information management specialists/officers, providing them with clear direction, feedback and support * Demonstrated ability on the delivery of high quality information and records management services to internal and external stakeholders, ensuring that their needs and expectations align with business requirements * Demonstrated ability to communicate effectively, both verbally and in writing, with a range of audiences, in particular senior management, using appropriate language, tone and style in accordance with internal policies * Demonstrated experience in writing clear and concise reports on complex issues and projects so they are easy to understand and use * Demonstrated ability to work independently and as part of a team, managing competing priorities and deadlines and delivering outcomes in a fast-paced and dynamic environment * Demonstrated ability to use initiative, problem-solving and analytical skills, applying sound judgement and decision-making in complex and ambiguous situations * A tertiary qualification in records and information management or demonstrated equivalent professional experience.
The following criteria is highly desirable: * Demonstrated experience in administering a manage-in-place EDRMS e.g.
RecordPoint/Records365 * Demonstrated experience in administering a secure external file sharing and document workflow tools.
Requirements and relevant information: * One (1) x full-time, ongoing position available * Working within the Security Information and Privacy Division, Digital Services and Security Department * This position is located at Victoria Police Centre, 311 Spencer Street, Docklands and will require visits to other Victorian police sites * The successful applicant will be required to undergo National Security Vetting, achieve, and maintain a security classification of Negative Vetting Level 1 (NV1).
