About This Opportunity
This position is part of a small team of executive support staff that provides comprehensive executive and administrative support to the Faculty of Science leadership team.
The primary purpose of this position is to provide a range of administrative and secretarial support to the Faculty Executive Manager while also supporting the overall operations of the Office of the Executive Dean. The role involves liaising with a range of internal and external stakeholders, working collaboratively as part of a small team to resolve problems and providing high quality support to the faculty executive team.
Key responsibilities will include:
* Ensure the smooth running of the Executive's day-to-day work schedule, including: managing the electronic diary; coordinating incoming correspondence/enquiries; scheduling meetings/activities and engagements; coordinating communications; and coordinating travel.
* Coordinate and provide administrative and/or secretarial support to relevant boards and committees.
* Proactively plan, coordinate and support key divisional projects, events and conferences, and their logistical details, while anticipating and managing potential conflicts.
* Ensure the relevant senior or executive staff member/s are briefed on relevant issues and background information in preparation for meetings.
* Actively monitor and support the day-to-day flow of activities within the executive office.
* Liaise with and respond to a wide range of enquiries from staff and students at all levels across the University, representatives from government, industry and members of the wider community, initiating further action and follow up as necessary.
* Managing financial processes, including reimbursements, expenses, and account reconciliation, in accordance with University financial policies and procedures, while overseeing financial delegations on behalf of the relevant executives.

About You
We are seeking a motivated, organised and experienced Executive Support Officer to provide a high level of executive assistance and administrative support to the Faculty Executive Manager while also supporting the overall operations of the Office of the Executive Dean. Candidates require previous administrative, executive support or secretarial experience; excellent interpersonal and written communication skills and the ability to prioritise their own workload and work independently to meet deadlines.
The selection criteria include:
* A bachelor’s degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.
* Excellent organisational and time management skills as well as a commitment to a high level of client-focused service.
* A keen eye for detail combined with sound problem solving skills to proactively identify and resolve or redirect issues.
* Excellent stakeholder management skills, such as the ability to effectively handle, escalate and follow up with stakeholders.
* Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and experiences.
The successful candidate may be required to complete a number of pre-employment checks, including: right to work in Australia, criminal check, education check, AHPRA registration, mandatory immunisations, first aid and/or CPR certification, blue card check, etc.
