Our client is a renowned global law firm opening its first office in Australia. They're seeking an experienced Legal Practice Assistant with a keen interest in developing their operations management skills.
This role is a key support position, responsible for overseeing all front-of-house and administrative functions while providing essential legal practice assistance to the team of lawyers. You'll be working closely with regional and global departments to ensure seamless office operations and contribute to firm-wide initiatives.
Key Responsibilities:
* Manage front-of-house operations, including answering calls, greeting visitors, and overseeing conference room bookings.
* Ensure conference rooms and visiting lawyer offices are set up and tidy at all times, with morning walkarounds and immediate service post-meetings.
* Coordinate catering for client and office meetings.
* Provide comprehensive diary management, travel arrangements, and document preparation for lawyers.
* Assist with client and matter opening, filing, and document management.
* Support business development activities, including coordinating pitches, marketing materials, and event logistics.
* Manage general office operations, from purchasing supplies to coordinating office functions such as events and charitable activities.
* Ensure health and safety compliance, acting as the Fire Marshall and First Aid leader for the office.
* Handle vendor relations, office repairs, maintenance, and technology support.
About you:
* Proven experience in a legal secretarial role, ideally in a true global law firm environment.
* Strong organisational and multitasking skills with excellent attention to detail.
* Monthly billing experience within a law firm
* Proficient in legal Practice Management Software and Microsoft Office Suite (Word, Excel, PowerPoint), with the ability to format and manage documents efficiently.
* Ability to work independently and as part of a team, managing competing priorities in a fast-paced setting.
* Adaptable to changing needs, with flexibility in working hours when required.
* Available to work full-time - Mon-Fri, 9am-5pm.
