OBJECTIVE Attributes Ability to work through processes with a methodical and systematic approach.Strong communication and interpersonal skills with team members.Confident in dealing with complex issues and the ability to problem-solve issues logically based on facts.High degree of organisational and planning abilities.Ability to exercise judgment and discretion when dealing with confidential or sensitive information.Excellent time management skills, the ability to coordinate multiple responsibilities, meet deadlines, and prioritise workload appropriately.Duties Include (But Are Not Limited To): Answering phones regarding property mattersDealing with the tenants/public/contractorsHandling incoming/outgoing posts and distribution thereofArranging courier services where requiredHandling tenant, customer, and public enquiries/complaintsHandling lease documentation movements & correspondenceAssist with rent arrears managementDatabase management and updatesMonitoring incoming emailsMonitor & respond to Facebook & Website incoming correspondenceCommunicate centre activities to tenants & contractors which may affect their operationsGeneral Administration Ensure Debtors are managed to the level required by Perdaman GroupAssist the management team where necessaryPoint of contact with Specialties / Majors for any inquiriesCreate and maintain a tenant database of contacts, including:Tenant details (shop # and trading name)Tenant emergency after-hours contact details (name and mobile numbers) — reviewed and updated every 3 monthsTenant contact details for debtors (name and telephone numbers)Assist with monthly collections and maintenance of all rents and incidentals (Issue arrears letters and make phone calls)Prepare Debtor's month-end report with details of arrears, etc.Lease Administration Manage, update, and follow up on the Lease Movement register; create a lease movement document databaseComplete and prepare Lease Information Documents (LID) for all approved new leases in the systemFacilities Manager approval and sign-off requiredCollect and maintain correspondence for Bank Guarantees (originals must be stored securely by the Landlord)Prepare and collect fixed and CPI rent review letters for Facilities Manager and/or Managing Director approval, based on Tenancy schedulesComplete leasing packs and filing systemsFile, archive, and prepare leasesCasual Mall Leasing Take bookings from interested participants & Community Organisations and forward them to Mall Managers for processingMaintain a weekly register of current and future Casual Mall Leasing (CML) bookingsOperations Collect and complete incident reportsCreate and maintain a contractors list with emergency contact details for after-hoursProcess and code tax invoices for A/PPrepare and execute Purchase Orders (POs) where requiredAssist the Facilities Manager with identifying, assessing, and managing risk within the property groupAssist the Facilities Manager with Contractor compliance and data integrityAssist with Centre risk compliance obligations (including HSEMP files)Help manage areas including but not limited to:SecurityHVACBuilding management systemsCleaning and contract managementOH&S legislation and practical applicationsMarketing Ensure collection of all sales figures and entry into the system by the 10th of each monthEnsure collection of all Door Counts and entry into the system by the 10th of each monthWhat we offerAt Perdaman Global Services, we are committed to providing our employees with a rewarding and fulfilling work environment.
