Position Summary The Sales Coordinator role is responsible for providing administrative support to the Sales and Marketing Department and ensuring the highest level of customer service to both internal and external clients. The role is also responsible for building and maintaining relationships with key stakeholders and assisting with the coordination of site inspections and client events.
The Role Prepare quotations, proposals, and contracts across all market segments. Assist with contract processing for Corporate RFPs, including loading rates and company details into Opera and Opera Sales & Catering systems. Coordinate rate uploads via Revenue Management and ensure contracts are properly stored.Oversee the end-to-end contract process, including space blocking, rate loading, activity updates, and contract storage. Work closely with relevant departments to ensure seamless execution.Keep all merge documents updated with accurate content and web links. Ensure Sales & Catering accounts remain up to date and accurate at all times.Foster positive interactions with guests and colleagues, maintaining strong working relationships.Provide administrative assistance to the Director of Sales & Marketing, Director of Sales, Sales Managers, and, when required, the Director of Revenue and Director of Marketing & Communications.Prepare and maintain a sufficient stock of media and sales kits, updating content as needed to align with current marketing strategies. Support the DOSM/DOS in coordinating the annual contracting process for tour operators and corporate accounts. Maintain accurate records of brochure contribution commitments and value-add offers.Administrative duties such as word processing, filing, photocopying, handling couriers, coordinating mailouts, taking minutes, and managing other general office tasks as directed by senior leadership.Support the Sales & Marketing team with various projects, presentations, and initiatives.Handle incoming communication across various channels (verbal and written) and ensure timely responses.Assist with additional administrative tasks and projects as required by the Sales Team.Talent Profile Hospitality or Sales/ Marketing tertiary qualifications are preferred.Experience in a similar role in luxury hotels/resorts or hospitality sector is preferred.Experience in a sales or events environment.Proven experience in providing administration support.Demonstrates strong organizational and time management skills.Demonstrates strong communication and interpersonal skills.Demonstrates strong attention to detail.Knowledge of Hotel Property and Catering Management Systems (OPERA).Sound experience utilizing the Microsoft Suites of products and Adobe InDesign applications.*Kindly be informed that only shortlisted candidates will be contacted.
