Executive Assistants will have the opportunity to support their Executive and the Agency to empower First Nations communities.
The position requires an individual with the ability to work in a position of trust and apply a high level of judgement, personal integrity, confidentiality and discretion.
The position requires the establishment and maintenance of close and professional working relationships with the DCEO, the CEO office, SES, and Group and Branch representatives.
In addition, the occupant is required to build wide and effective networks throughout the Agency and engage with a range of external high level stakeholders including Ministerial staff, executives and community leaders.
The successful applicant must be able to understand the DCEO's intent, maintain a strategic focus to identify risks and issues and be proactive in initiating action.
The position requires a highly motivated, organised professional with experience in providing high quality outcomes.
They must be an adept communicator, comfortable engaging with stakeholders of all levels and able to prioritise and manage competing work demands.
The position operates with limited supervision and is responsible for the effective management of the DCEO office including:
Diary management of the DCEO and associated meeting arrangements including coordinating high level briefingsManaging and prioritising a large and complex volume of incoming correspondence including emails, briefs, letters and appointment requests as well as receiving telephone calls to ensure accurate and timely responsesEstablishing and managing strong stakeholder relationships both internally and externally with senior level stakeholdersCo-ordinating travel arrangements including flights, accommodation, visas, travel allowances and reimbursementsMaintaining records in the Customer Relationship Management system and other related systems in accordance with agency policies and proceduresFinancial management including monthly credit card reconciliations and payment of associated invoices and contractsManaging and prioritising items via the Parliamentary Document Management SystemWorking as part of the Executive Team that supports the Agency's ExecutiveActively leading and supporting the Agency's Executive Assistant Network, leading teams of Executive Assistants and assisting to develop and implement Executive Assistant induction and development.Our Ideal Candidate: As a first point of contact in the Executive team, our ideal candidates will be administrative professionals or have the ability to quickly adapt to a new environment.
