We are seeking a motivated and detail-oriented Administration Officer to manage our day-to-day office operations.
Key Responsibilities:
* General Office Support:
o Answer and direct phone calls, take messages, and manage email inquiries.
o Greet and assist visitors in a professional and friendly manner.
o Maintain office supplies inventory by checking stock levels and placing orders when necessary.
o Assist in the preparation of documents, reports, and presentations.
* Data Entry and Record Keeping:
o Input and update information into databases and systems accurately.
o File and retrieve documents, both physical and digital, in an organized manner.
o Maintain accurate records of correspondence and administrative files.
* Scheduling and Coordination:
o Schedule meetings, appointments, and maintain calendars for management and staff.
* Communication and Correspondence:
o Draft and distribute internal and external communications such as emails, memos, and letters.
o Assist in preparing meeting agendas and take minutes during meetings.
* Administrative Support:
o Provide clerical support such as photocopying, scanning, and filing.
o Assist in the preparation of expense reports and processing invoices.
o Support various administrative projects and initiatives as needed.
Skills & Qualifications:
* Strong organizational skills and attention to detail.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
* Excellent verbal and written communication skills.
* Ability to handle confidential information with discretion.
* Strong time management skills and the ability to prioritize tasks effectively.
* Positive attitude and willingness to learn.
Experience:
Previous experience in an administrative or office support role is an asset but not required. Full training will be provided.
