Wedding & Event Coordinator (Maternity Leave Cover – Role 1) Position Description: The Valley Estate is looking for a passionate and bubbly individual to join the Wedding & Event coordination team. Reporting to the Head of Weddings & Events you will oversee and coordinate various weddings and events across the 9-acre estate, ensuring flawless execution and outstanding guest service in all areas.
The Valley Estate is a premier Wedding and Events venue located in Currumbin Valley on the Gold Coast known for its beautiful setting and exceptional service. With its Manor, Chapel, Glasshouse, Guesthouse and extensive gardens, The Valley Estate is a complete wedding venue, offering prospective couples the unique opportunity to host their ceremony, photoshoot and reception all within one bespoke, all-inclusive space.
Please be advised, this is a maternity leave cover for a minimum of 6 months with the potential to extend up to 12 months. Following this, an ongoing position may be available for the right candidate. Required: Previous experience as a wedding coordinator or event planner Wait staff experience is highly favourable RSA & barista certificateAbility to work flexible hours, including weekends, public holidays and early morningsCapacity to handle the physical demands of a fast-paced environment Key Responsibilities: Assist with opening and closing of the estate as required, particularly on event days Maintain clear and concise professional communication with clients and vendors to uphold The Valley Estate standard Assist with morning guest check-in on event days and provide support throughout the event to ensure a positive experience Participate in on-site meetings with clients to collaborate and plan their one-of-a-kind, bespoke event Plan and execute event logistics, including timelines, schedules, and vendor coordinationSchedule and facilitate wedding/event rehearsals with clients, as required Participate in weekly internal BEO meetings to discuss event details with the greater management/operations teams to ensure smooth service Act as main point of contact for all vendors, and internal staff for the day of your event Oversee the physical setup of the estate on the day of your event, including arranging furniture, audiovisual equipment, and decorationsManage guest enquiries, trouble shoot and resolve any issues or answer any questions that may arise during the planning or execution of your event Maintain clear and concise communication with all team members and vendors in all aspects to ensure everyone is aligned with the overall event objectivesProvide updates and brief staff and vendors as needed throughout the course of your eventAccount management of your delegated eventsOversee wait staff throughout the course of your events to ensure the high standards of service The Valley Estate is known for is upheld in all areas This is a rewarding position ideal for someone looking to grow and further develop their career within a premium venue supported by a dynamic team of industry-leading professionals.

Executive Assistant (Maternity Leave Cover – Role 2) Position Description: The Valley Estate is looking for an organised, diligent and driven individual to support the Owner and General Manager with day-to-day business activities, as well as assist the greater Management team by providing administrative, operational and logistical support in all facets of the business.

With its Manor, Chapel, Glasshouse, Guesthouse and extensive gardens, The Valley Estate is a complete wedding venue, offering prospective couples the unique opportunity to host their ceremony, photoshoot and reception all within one bespoke, all-inclusive space.

Required: Experience within the hospitality, wedding or events industry Experience working with digital systems Ability to keep your finger on the pulse and stay up to date and aware of all business movements Capacity to handle the physical demands of a fast-paced environment Key Responsibilities: Provide high-level executive and personal assistant support to the Owner and General ManagerProvide high-level administrative and operational support to the greater Management team An ability to turn your hand to a variety of tasks and errands as required, and balance levels of priority accordingly – Please note: this is a hands-on role that requires an adaptable and flexible individual Demonstrated experience in office system including document presentation and work in an electronic environment Well-developed written and verbal communication skills The ability to prepare clear and concise reports, recommendations, presentations, and other relevant correspondence, as required Diary and calendar management Meeting preparation, scheduling and minute taking Travel and accommodation arrangements Experience with Canva and Adobe suite is essential Experience with iVvy, Sevenrooms, Calendly, Mailchimp, Meta and other operating systems is essential Marketing – photo & video gallery management, social media scheduling, newsletters, editorial features etc Accounts management – payment reminders, payment receipts, reconciliation HR – employee onboarding, document filing, digital recording Assist with the planning and organising of events and related initiatives.
