Who are we looking for?
We're looking for a Contracts & Procurement Administrator to join our Delivery Phase Services (DPS) team in Perth, Australia.
This role is a secondment into our client’s project office, and will assist to deliver consistent contracts support to the broader DPS team to ensure we deliver performance and outcomes on DPS projects.
Working with an energetic and high performing team, this position offers a variety of work and will see you involved in:
* Development of project specific contracts and procurement (C&P) documents, including C&P Strategy, C&P Plan and Package Plans, in consultation with technical and wider project management teams.
* Preparation of market sounding, expression of interest and prequalification documents with input from relevant teams, including administration of the issuance of those documents to the market, coordinating the review of submissions received and preparation of the required recommendations.
* Preparation of prospective tenderer lists and shortlisting in consultation with relevant stakeholders.
* Coordinating the compilation of tender documentation, using client or GHD templates, including review to ensure suitability based on the package scope and objectives, and preparation of the tendering documents, including coordinating with relevant project teams to obtain required inputs.
* Review of proposed client general and special terms and conditions and provide relevant feedback based on the scope of work relevant to the package.
* Coordination of the tendering process, including issuance of tenders to the market, tenderer queries, receipt of tenders, tender review, tenderer shortlisting and preparation of recommendation documents.
* Contract negotiation and supporting conformance of the contract to align with negotiated outcomes for each package, including population of or sourcing the relevant revisions of documents for annexures and schedules.
* Review and preparation of responses to payment claims, including coordination with the project team for input on validity of milestones or progress claimed, and preparation of the recommendation to be issued to the client for review and payment.
* Assessment of variations and extension of time claims, with input from the project team and drafting responses to claims for client review and approval.
* Monitor insurance certificates of currency and securities to ensure replacements are requested in advance of expiry and securities are returned to the relevant third party in accordance with the relevant contract terms.
* Supporting the project teams to deliver in line with our contractual obligations of the contract with our clients during execution of DPS projects.
* Provision of sound and timely guidance and advice to our project teams in relation to claims or contract interpretation.
What you will bring to the team:
* Experience as a Contracts administrator on major mining or future energy projects (preferred) or significant experience relevant to the role.
* Between 2 and 8 years of experience within an engineering consultancy.
* Ability to manage several jobs at once and determine priorities.
* Proactive thinker who can anticipate contractual risk and deliver innovative solutions.
* Strong communicator and influencer.
* A collaborator who works well nationally and brings people together for the best collective outcomes.
* This role will require an immediate start, noting the successful candidate may have to serve out a notice period to their current employer.
