Description The Role The Office Manager plays a key role in ensuring the smooth and efficient operation of the Sydney and Melbourne offices, providing high-level administrative support and fostering a professional and positive workplace environment.
Serving as the first point of contact and the face of the Sydney office, this role is responsible for reception management, office operations, executive support, event coordination, and WHS compliance. Additionally, the position oversees procurement, facilities management, and office processes while supporting a culture of continuous improvement.
This is a hands-on, multi-faceted role requiring exceptional organisational skills, professionalism, and a proactive mindset. The ideal candidate will have the ability to prioritise, problem-solve, and collaborate effectively, ensuring operational excellence across multiple locations.
Responsibilities Manage the reception area, ensuring a professional, welcoming environment and providing excellent service to visitors and clients. Oversee office operations across Sydney and Melbourne offices, maintaining consistency and addressing facility management needs. Provide direct administrative support, including diary management for the CEO, organising meetings and travel arrangements for executives, and handling document processing. Organise and support internal and external events, ensuring effective meeting room bookings and catering arrangements to foster a positive office culture. Ensure compliance with Workplace Health and Safety regulations, including maintaining documentation and promoting safe practices and emergency procedures. Develop and implement administrative systems to enhance office efficiency, identifying areas for operational improvements and fostering a culture of continuous improvement. Oversee the procurement and inventory management of office supplies and Automic branded merchandise, ensuring optimal stock levels and negotiating contracts as needed. Act as a positive role model in the office, contributing to a collaborative and productive workplace culture while assisting with the onboarding of new employees. Provide additional support as directed by the Leadership Team, contributing to various office tasks to ensure smooth operations. Skills And Experiences Demonstrated Capabilities Extensive experience in reception, office management, or administrative roles. Proven ability to prioritise tasks, multitask, and maintain high levels of efficiency. Exceptional verbal and written communication skills, with an emphasis on clarity and professionalism. Ability to thrive in a fast-paced environment and adapt to changing circumstances. Strong problem-solving skills with a solutions-focused mindset. High level of accuracy and attention to detail in administrative tasks. Ability to handle sensitive information with the utmost confidentiality and trustworthiness. High-level proficiency in Microsoft Office Suite and experience with event management and stakeholder coordination.
