The role is full time hours, Monday to Friday. You will work directly within a dynamic team of admin & clinical staff servicing Mackay, and you will also be working as part of a wider administrative team who are based in Brisbane, Newcastle, Rockhampton, and Moranbah.Intermittent travel may be required (no more than quarterly) for induction, professional development, and team building purposes.Duties:Answering and managing incoming callsDirecting queries to the appropriate person/location including escalating any urgent requestsScheduling client appointment bookingsGathering and inputting the appropriate information required in the client booking system, ensuring accuracy at all timesSetting up telephone/video counselling meeting invitations and ensuring clients are provided the appropriate information prior to appointmentsManaging email/web/app requests for serviceIn collaboration with the wider admin team, manage clinician diaries across multiple locations and officesProvide customer service to clients accessing in-person support in the Mackay OfficeProvide administrative support to the clinical teamMinimum Requirements:At least 2 years experience working as a receptionist/administrator (within a medical/allied health practice preferred)Exceptional communication skills with an ability to positively and empathetically interact with clientsComputer literate with excellent data entry skillsExperience working with Microsoft Office 365 and Zoom video platformA professional and mature attitude and ability to adhere to strict confidentiality and privacy requirementsExceptional organisational and work coordination skillsAbility to work autonomously and as part of a teamHighly motivated and flexible in their work attitudeAlong with a current resume, please provide a brief cover letter highlighting the reasons why you'd be a great fit for the Gryphon team.Please apply through Seek.
