LOCAL EMPLOYMENT OPPORTUNITY: Office and Workshop Manager
We are a locally owned and based Building and Trade Service company in Katherine, looking for a skilled and professional Office and Workshop Manager to join our team.
This role comes with full-time hours over a 5-day work week from Monday to Friday, with the offer of flexibility in start and finish times. We are a fast-paced local business with a strong local workforce. Our business delivers new constructions, rectification, renovation building works, maintenance, and trade services primarily within the government-owned sectors across the Northern Territory, maintaining a high level of work turnover throughout the year.
Our work is varied; therefore, our team members require flexibility and the capacity to manage the demands of different sectors in a fast-paced and ever-changing environment while working confidently with a large team of trades.
The role will include, but is not limited to:
Being the front face of the business and office, welcoming visitors in a professional manner. Answering office phone calls and responding to inquiries or directing them to the appropriate team member. Using multiple project software packages, both in-house and client-based, to support workflows. Managing email inboxes over multiple accounts. Performing data entry tasks - importing, collating, and allocating time-critical data in our project management systems including work orders, POs, invoices, timesheets, and completion notes from trades reports. Completing and/or collating worker, business, and project-related documentation and reporting. Managing and running our web-based vehicle and tool location tracking systems, including following up with trades regarding this equipment. Communicating and working with trades, labor, and sub-contractors daily, both face-to-face and via phone, supporting them with information materials to complete their tasks. Supporting trades with training and use of smartphones and iPads, as well as company project and safety software systems. Ensuring all required reporting and paperwork is returned on time such as timesheets and vehicle inspections. Booking worker accommodation and travel requirements throughout the NT via phone and email. Booking delivery and transport for materials as necessary. Purchasing office, kitchen, and cleaning supplies. Managing the allocation of staff uniforms, PPE, and other requested items. Scheduling and communicating with external providers such as training organizations or mechanical services at the direction of management. Collecting post and running local business errands. Completing basic cleaning tasks such as rubbish removal and wipe downs throughout the workshop and office. Redirecting any unauthorized persons in the workshop or those without correct PPE. Flexibility to support the business with ad-hoc tasks as required. The right applicant will possess the following:
Experience in a similar role is required; experience within a building or maintenance company is highly advantageous but not essential. Knowledge of standard office computer systems such as Microsoft Office, Excel, and Outlook. Familiarity with technology such as smartphones and iPads, as you will be the person to hand over equipment to trade staff and assist them with necessary apps. Ideally, previous experience using project and safety management systems such as BuilderTrend, Service M8, and/or SiteDocs is preferred, but must be willing to learn systems end-to-end. Professional manner with clear communication and a mature mindset. Fast learner in new systems and processes. Sound attention to detail. Capacity to manage a fast-paced workload with ever-changing priorities, often with short deadlines. Ability to work confidently, autonomously, and self-managed, as well as within a wider team including management, trades, and external sub-contractors and suppliers. Australian Driver's License.
