Duties and Responsibilities
* Be the first point of contact for our clients and community (reception, phone, and email).
* Assist in maintaining client and staff databases.
* Assist in arranging appointments and meetings for the supervisor and management team.
* Demonstrate a high level of interpersonal and communication skills, including the ability to build and maintain relationships, negotiate, and resolve conflicts.
* Demonstrate commitment to ensuring the organization's policies and procedures are effectively implemented across services/programs.
* Support the maintenance of administrative systems, processes, and policies.
* Prepare weekly client and staff rosters.
* Possess well-developed time management skills and the ability to prioritize tasks and actions as appropriate.
* Perform basic accounts work, including accounts payable and receivable.
To be eligible you must:
* Have recent and strong experience in an Administration role.
* Demonstrate experience conducting Work Health and Safety (WHS) assessments of the service provision location.
* Possess advanced computer skills, strong communication skills (both verbal and written), and the ability to work autonomously as a self-starter.
* Have high attention to detail, be well-organized, and capable of handling multiple tasks.
* Be proactive and possess excellent problem-solving skills.
* Have excellent MS Office skills and the ability to learn new programs.
* Exhibit excellent people skills, be open to direction, and have a collaborative work style with a commitment to getting the job done.
* Have experience in data entry, including new jobs, worksheets, bill checking, invoice & docket filing, stock-taking & reordering of new equipment.
* Analyze and evaluate client needs and work with internal and external stakeholders to ensure that client needs are met.
* Create a cooperative, valued, and safe workplace environment.
* Have awareness of strengths and weaknesses and a commitment to continuous improvement.
