About the Department
Our client, a Federal Agency ensures a better response in times of disaster, while driving long-term preparedness and lasting recovery. Delivery of a PSMB capability in Australia is a priority. Once implemented, the PSMB capability will provide emergency service personnel with fast, safe and secure voice, video and data communications and near instant access to data, images and information in live situations, emergencies and critical incidents. It will support the coordination of responses across organisational and geographic boundaries, and enhance Australia's ability to manage emergencies, hazards and threats, in turn helping to keep Australians safe and mitigate damage to property.
About the Role
The Secretariat Officer will provide high level secretariat functions for key meetings that support the achievement of governance and assurance arrangements for the PSMB Program.
This is an exciting time to be involved in the PSMB program. The team is relatively new and the program is really starting to gain momentum. The work is interesting and there is a real opportunity to shape the way that the program moves forward.
Duties
* Ensure Secretariat outcomes are achieved on time and to quality standards through contributing to the management of end to end meeting planning, development and implementation for PSMB governance forums. This includes:
* Scheduling and coordinating meetings, including reserving meeting rooms, arranging for necessary equipment etc.
* Coordinate meeting paper preparation and publication.
* Contribute to the development of meeting agendas.
* Attending and supporting PSMB governance forum meetings as required.
* Recording outcomes of meetings accurately.
* Establish and maintain stakeholder relationships through effective communication, collaboration, negotiation and issues management to engage stakeholders and strengthen governance practices.
* Contributes to the development and implementation of policies and procedures to support continuous improvement of the PSMB governance / secretariat capability.
* Monitor and evaluate all aspects of the Secretariat service offering, to identify issues, and assess and adapt Secretariat protocols to achieve planned outcomes.
* Provide expert advice and information to stakeholders on emerging issues to support continuous improvement of governance capability for Secretariat entities.
* Manage process to collate quality reports and communications to ensure a high standard of stakeholder engagement.
Essential Skills / Experience
* Secretariat experience
* Strong attention to detail, organisational and coordination skills in order to deliver high quality outcomes within tight timeframes.
* Drafting of high-level written material, submissions and briefs.
* Stakeholder engagement regarding complex matters.
* Sound interpersonal, judgement and strategic thinking skills.
* Strong computer literacy, especially in Microsoft Office.
Desirable Skills / Experience
* Stakeholder engagement experience with state and territory

As this role is with the Federal Government, only Australian citizens will be considered for this vacancy, a minimum Baseline Security Clearance is required, preferred NV1.
