Job Description Based in our Shepparton Depot, the Depot Coordinator supports the distribution of fuel and lubricants to customers and controls stock levels. This operational-focused role is dedicated to supporting our customers' needs in both lubricants and fuels.
The role involves managing local drivers' workloads and overseeing and optimising vehicle schedules within the Shepparton area.
Additionally, this position is responsible for the day-to-day operations of the office, as well as all invoicing and stock-related reporting.
The role will report directly to the Victorian Operations Manager and is essential in driving operational efficiencies and cost management through effective scheduling, invoicing and stock balancing.
Manage inbound customer enquiries for both Fuel and Lubricants, providing price quotes and ordering via phone, email and over the counter Maintain high standards of customer service and address any customer concerns effectively Ensure all Fleet and driver requirements meet company and legislative HSSE expectations.
Scheduling of delivery runs for 3 Shepparton based fleet Oversee depot inventory management for both fuels and lubricants Support the Victorian Operations Manager with day to day operations including route planning, vehicle maintenance schedules (planned)and breakdowns (unplanned) and driver communications Support local drivers with day-to-day issues including handheld use, daily truck balancing and monthly stock takes, both fuels and lubes.
Coordinate handhelds to ensure effective utilisation and troubleshoot any operational issues.
Collaborate with Senior Leaders to improve depot processes, including streamlining and standardising stocks and pricing procedures across all locations.
Foster team culture and implement collective Ways of Working to ensure consistency and efficiency across the organisation.
Qualifications Proven or a willingness to learn transport scheduling, office and inventory management.
Strong operational skills with the ability to multi-task, a real problem solver.
Excellent communication skills with the ability to build strong relationships and collaborate effectively across departments to senior management.
Ability to lead and influence cross-functional teams to achieve organisational goals.
Comfortable working in a dynamic environment with the flexibility to adapt to changing priorities and timelines.
Strong organisational skills, who understands hitting and meeting deadlines.
