Role Overview: This role will support the CEO in organising, streamlining, and overseeing various aspects of the business. This position includes administration, team management, HR duties, personal assistance to the CEO, and bookkeeping responsibilities. This role is vital to supporting the team and ensuring smooth day-to-day operations. Duties and responsibilities include:
Manage communications on behalf of the CEO, coordinate meetings, and oversee scheduling. Serve as a key support to the CEO, providing assistance with scheduling, task management, and other ad hoc requests. Assist with bookkeeping, including expense tracking, invoicing, and payroll coordination. Provide financial support for the CEO's personal expenses and investments as needed. Provide comprehensive administrative support to ensure smooth office operations, including managing supplies, organising office logistics, and coordinating team events. Develop and implement organisational processes to enhance efficiency and productivity across the team. Ensure the office is well-maintained and fully stocked, creating a supportive work environment. Assist with HR responsibilities, including coordinating team-building activities, managing onboarding processes, and supporting team morale initiatives. Organize team-building activities and contribute to creating a positive, cohesive work culture. Coordinate with team members to support scheduling, planning, and productivity, including managing personal and team calendars. Coordinate travel arrangements, meeting schedules, and personal commitments to ensure optimal efficiency for the CEO's workflow. Skills and Experience: Proactive & Self-Motivated: Able to take initiative and work independently, anticipating needs and solving issues proactively. Organised & Detail-Oriented: Manages multiple priorities, tracks tasks meticulously, and ensures accuracy in all aspects of work. Proficiency in using Xero: Financial management, including invoicing, bank reconciliations, reporting, and payroll. Effective Communication: Communicates clearly and professionally with the CEO, team members, and external stakeholders. Adaptable & Flexible: Can shift focus easily and adapt to changing priorities.
