About the role: As an experienced Office Manager (Senior Administrator) and 2IC, you will assume leadership of the Medical Reception team. Taking a holistic approach to the practice, you will be integral to enabling the patient experience, safeguarding the delivery of an exceptional quality of care, while providing comprehensive support to the Directors, Technicians, and Receptionists. Your role will combine patient management with administrative and managerial support duties. You will be passionate about customer service and making a difference through healthcare provision. Responsibilities: Act as 2IC to the Director and the Head of Sleep through value-added support and sharing of leadership responsibilities in the overall management of the clinic. Provide leadership and guidance to the reception team to meet goals and achieve performance targets. Manage the professional delivery of administrative and customer service aspects of the clinic, ensuring efficient practice operations. Utilise your experience and creativity to create systematic and structured medical processes and procedures and to set team goals that align with the organisational objectives. Greet patients and visitors, providing excellent customer service. Answer phone calls, schedule appointments, and manage patient enquiries and requests. Verify patient information, insurance coverage, and process necessary paperwork accurately and efficiently. Maintain electronic medical records including gathering of records and ensuring confidentiality of patient information in compliance with privacy regulation. Coordinate with clinical staff and providers to ensure smooth patient flow and efficient clinic operations. Assist with billing and insurance-related tasks, including processing payments and submitting claims to Medicare, DVA, and other third-party insurers. Perform general administrative duties such as filing, scanning, and maintaining office supplies. Facilitate rostering of administrative and technical staff, including updates to tasks in lists and HealthTrack. Requirements: Proven experience in a managerial or team lead position. Demonstrated resilient and confident leadership and mentorship skills. Exceptional communication and interpersonal skills, with the ability to interact courteously and effectively with patients, visitors, and staff. Professionalism, reliability, and a positive attitude towards teamwork and collaboration. Effective problem-solving, delegation, and decision-making process skills. High level of initiative and proactiveness. Efficient and organised, with excellent time management and multitasking skills. Strong attention to detail and accuracy in data entry and administrative tasks. Proficiency in computer skills and ability to quickly learn software systems. Integrity and confidentiality in handling sensitive patient information. Highly regarded: Experience in a medical/clinical environment or willingness to learn new tasks and procedures and ability to quickly adapt to new working environments. Experience with medical software systems (e.g. HealthTrack). Current CPR certificate.
