About the role:
The Part-Time (0.8 FTE over 5 days - Monday to Friday) Retail Operations Coordinator at Sheet Society is an exciting newly created role that will play a key part in successfully delivering our retail expansion plans. The Retail Operations Coordinator works cross-functionally across our Retail teams and HQ departments to ensure the seamless operation of our retail environment, supporting the Retail and Customer Experience Manager in driving operational excellence across all retail locations.
You will be the centralised point of communication for all store-related matters, overseeing key operational tasks, including calendar management, meeting coordination, travel logistics, and event planning. Additionally, you will manage a variety of general administrative duties to ensure the efficient execution of daily operations. This role requires exceptional organisational and communication skills, a keen eye for detail, and the ability to work effectively in a dynamic, fast-paced environment.
About the team:
Part of the Retail & Customer Experience Team, the Retail Operations Coordinator reports directly to the Retail & Customer Experience Manager. The role works closely with the store Retail Teams and key stakeholders and department leads at HQ.
Key Responsibilities:
1. Communication & Coordination
o Act as the central point of contact between retail stores and HQ, ensuring smooth information flow and issue resolution.
o Contribute to the creation and refinement of key store processes and standard operating procedures, ensuring consistency, alignment and best practices while maintaining any brand-specific nuances and strategies.
o Support retail initiatives and events, managing logistics and communications.
o Coordinate and track delivery schedules and travel requests.
o Provide support for new store rollouts, ensuring all aspects are coordinated effectively.
2. Administration Support & Reporting
o Collate and analyse weekly trade insights, presenting data in Trade slides.
o Prepare ad-hoc documents, reports, and presentations to support retail operations.
o Coordinate stocktakes/cycle counts, ensuring accurate and timely completion.
3. Operations & Safety
o Ensure fire safety compliance, annual testing and tagging and maintain relevant certifications.
o Administer the retail key and alarm register, ensuring security of all locations.
o Monitor store maintenance requests and coordinate with suppliers and contractors accordingly.
4. Financial & Budget Support
o Manage credit card coding and monthly store expenditure, ensuring proper allocation of expenses.
o Upload and maintain retail store budgets in Kepler, ensuring accuracy and compliance.
o Oversee store stationery orders and other procurement activities, keeping within budget.
5. Customer Experience Support
o When required, provide Customer Experience support by answering emails, phone calls, live chats and social media enquiries in accordance with assigned KPIs.
About you:
* 1+ years experience in a similar Retail Operations role.
* Excellent communication skills with the ability to build strong working relationships with key stakeholders at all levels both locally and interstate.
* Determination to achieve results and problem-solve.
* The ability to anticipate what may be required, work autonomously and exercise discretion.
* Exceptional administration skills and attention to detail.
* Strong organisation, planning and time management skills with the ability to multitask and prioritise effectively.
* Experience using Slack, Asana, Shopify, and Google Suite highly advantageous.
