About the Roles
As an Administration Assistant, you will be responsible for supporting the office with general administrative tasks, ensuring smooth day-to-day operations. This role is ideal for someone with strong organisational skills and a proactive approach to problem-solving.
Key Responsibilities:
* Performing general administrative tasks, including data entry, document preparation, and filing
* Answering phone calls and responding to emails in a professional manner
* Assisting with invoicing, purchase orders, and basic financial documentation
* Supporting the team with office management duties
* Liaising with clients and internal staff to provide information and support
* Maintaining accurate records and ensuring compliance with company procedures
The Coordinator / Scheduler role is more specialised, focusing on scheduling, coordinating the work of technicians and subcontractors, and ensuring efficient job management. This position requires excellent communication and multitasking skills.
Key Responsibilities:
* Scheduling and coordinating service jobs for technicians, ensuring timely job completion
* Communicating with clients to confirm appointments, reschedule when necessary, and provide updates
* Monitoring technician schedules and adjusting as needed to maximise efficiency
* Processing work orders and maintaining accurate scheduling records
* Collaborating with the operations team to prioritise urgent tasks
* Handling job-related inquiries and ensuring customer satisfaction
* Assisting with reporting, invoicing and compliance documentation

Work Schedule: Monday – Friday
Office Hours: 7:30 AM – 3:30 PM
About You
We are looking for candidates who possess the following skills and qualifications:
* Strong attention to detail and organisational skills
* Excellent written and verbal communication skills
* Minimum of 1 year of experience in administration or a similar role
* Experience with scheduling or coordination (preferred for the Coordinator/Scheduler role)
* Knowledge of Uptick (preferred but not essential – training provided)
* Ability to take initiative and manage time effectively
* Strong work ethic, reliability, and a team-oriented mindset
* Willingness to learn and take on new responsibilities
