Part-Time Administrative Officer – Mental Health Practice
Location: Regional NSW
Hours: 15 to 25 hours per week
Hourly Rate: $30 - $40 per hour (dependent on experience)
Are you an organised and detail-oriented professional with a passion for supporting mental health services? We are looking for a dedicated Administrative Officer to join our collaborative mental health practice, providing high-quality administrative support to a team of mental health professionals.

About the Role:
As the Administrative Officer, you will be the backbone of our practice, ensuring smooth day-to-day operations and assisting mental health professionals with calendar management, billing, and client communications. You will provide administrative support across multiple practitioners who have varying needs, making flexibility and adaptability key.
Key Responsibilities:
* Manage practitioner calendars, scheduling appointments, and coordinating availability across multiple systems.
* Oversee billing and invoicing, including Medicare, private health insurance, NDIS, and private payments.
* Provide administrative support for client intake, referrals, and ongoing record-keeping.
* Communicate professionally with clients, practitioners, and stakeholders via phone and email.
* Maintain confidentiality and uphold privacy standards in line with mental health regulations.
* Assist with general office administration, including document preparation, database management, and office supplies.
* Troubleshoot minor IT and software issues related to telehealth, billing platforms, and practice management software.
* Ensure the office space is welcoming and efficiently run for both clients and practitioners.
About You:
* Experience in administrative or receptionist roles, preferably within a healthcare or mental health setting.
* Strong organisational skills with the ability to manage multiple tasks efficiently.
* Familiarity with practice management software, billing systems (e.g., Halaxy, Cliniko, Medicare, NDIS portals), and Microsoft Office.
* Excellent communication and interpersonal skills, with a warm and professional approach.
* Ability to work independently and as part of a team in a fast-paced environment.
* High level of attention to detail, particularly in scheduling and billing processes.
* Understanding of privacy and confidentiality requirements in a mental health setting.
