We're not all lawyers, but we work together to support the legal profession and ensure a just society for all.We are currently looking for an Administration & Enquiry Officer.About the roleThis is a high caliber customer service facing role answering telephone and email enquiries from internal and external stakeholders and undertaking high level administrative tasks, data entry and record management duties for the Law Society of New South Wales Professional Standards Scheme (the Scheme), the Director, Licensing & Registry and the Manager, Scheme Operations.What you'll be doingAnswer a high volume of telephone enquiries from staff, the profession and the public relating to the Scheme.Assist in answering email enquiries and provide accurate and timely responses and guidance regarding the Scheme.Liaise with the Finance Department in processing of applications and payment of fees.Generate and send out applications for participation, or exemption from the Scheme to new law practices.Assist in generating and processing of applications accurately on the Society's database for renewal of, applications for, and exemption from, Scheme participation.Maintain the Scheme's correspondence and its database to ensure accuracy, integrity of data input and historical information.Generate reports when required, ensure the electronic storage of applications, and renewals and archiving of documents where necessary.Play a key support role in all aspects of the administration of Scheme.Assist in the preparation and production of annual reports and reporting requirements.General office duties including opening and sorting mail, photocopying and any other administrative duties as directed by the Scheme Operations Manager or Director, Licensing & Registry.Support the Manager, Scheme Operations in the preparation of legal memoranda and annexures for consideration by the Scheme Administration Committee as required, including but not limited to the preparation of memoranda and compiling of documents, and correspondence after meetings to internal and external stakeholders in respect of Scheme matters.About youPrevious administration experience, in an office or clerical setting and preferably gained in a legal environment.Previous database management experience and management of information records.Excellent computer skills including working knowledge of Microsoft Office and an understanding of Power BI and data analytics.Excellent customer service skills and experience in managing telephone enquiries and complaints, and the ability to effectively interact with a diverse range of customers and stakeholders.Excellent interpersonal and communication skills both written and verbal.Sound administrative skills including strong organisation, planning, and prioritising skills.Ability to understand and apply policies and regulations.Ability to manage competing demands, and plan and organise self to ensure the timely completion of tasks.Excellent accuracy and attention to detail.The ability to work with discretion dealing with confidential and sensitive material.Ability to work both as part of a small team and autonomously with minimum supervision.Ability to work under pressure during peak times and with competing priorities.Displays a commitment to quality customer service, values the supply of accurate and timely information and able to relate to people from diverse backgrounds.To applyThe Law Society of New South Wales is committed to building and maintaining a respectful and inclusive workplace, appointing the best person for the role and supporting diversity.Applications should contain a CV and cover letter that outlines your key experience and motivations for this role.
