Enjoy the flexibility of a hybrid work model, allowing you to work both remotely and from our dog-friendly Sydney office Role What You’ll Do As our Project Manager, you’ll be at the heart of our business performance, ensuring vital data is captured and reported effectively. This will include all project scopes, inter-office collaboration / movement of workload across heads, timesheets and third-party costs (including media, partners and freelancers). You’ll lead the charge on: Data-Driven Insights: Track and analyse essential data to provide insights on project scopes, inter-office collaboration, and third-party costs. You’ll turn this information into actionable reports for senior management and the Group Commercial Manager. Utilisation Reporting: You’ll create monthly utilization reports with detailed commentary, helping management understand how resources are performing and where improvements can be made. Burn Reports: Develop burn reports to assess resource usage against project plans, tracking both actual utilization and the initially planned utilization. These insights help us manage resources effectively. Rescheduling Hours: Using the burn report data, you’ll collaborate with the team to adjust and reschedule hours for remaining project deliverables. You’ll make sure resources are allocated efficiently to meet project deadlines and adapt to scope changes. Timesheet Completion and Accuracy: Ensure timesheets are completed on time and regularly reviewed for accuracy, ensuring all project work is accounted for. Project Financial Management: Oversee project finances by approving expenses, creating POs, tracking freelancers, and ensuring alignment with client SOWs. You’ll provide regular project updates and ensure all team requests are addressed promptly. Process Improvement: Continuously identify ways to improve project processes, working closely with the team to streamline workflows and align with client needs. Communication: Keep all stakeholders informed about project progress, anticipate any changes, and ensure any adjustments are communicated clearly, along with necessary action plans and deadlines. Your Skills and Expertise We’re looking for someone with a solid understanding of how modern marketing agencies operate, with experience in project management and a clear grasp of the marketing campaign process. You’ll need: Commercial Acumen: A strong understanding of commercial awareness, allowing you to confidently navigate discussions around P&L, utilisation, and margin. You’ll help ensure resource management is aligned with our business goals. Project Management Prowess: You’re a master at defining project scopes, estimating resources, and managing budgets. You’ll keep everything on track and ensure our team is always informed and satisfied, even when challenges arise. Process Improvement Mindset: A continuous drive to improve project workflows, collaborating with the team to identify areas for improvement and adapt to changing client needs. Requirements Experience: Previous experience in project management or a similar role within a marketing agency environment. Technical Skills: Proficiency in project management software (e.g., Workbook, Traffic, Wrike or similar) and strong Google Sheets / Excel skills for reporting and analysis. Communication Skills: Excellent written and verbal communication skills, with the ability to present data clearly and effectively. Attention to Detail: Strong organizational skills and meticulous attention to detail to keep everything running smoothly.
