The Sales, Marketing & Innovation Branch (SMI) encompasses design and development, marketing and communications, sales and B2B relationship management, and museum, education and visitor services, and endeavours to ensure a high degree of satisfaction for stakeholders.
It is responsible for delivering a commercial program, creating memorable experiences for up to 1,000 visitors per day, designing and developing over one hundred products annually, generating awareness and engagement and then converting this into ongoing relationships with customers and visitors.
The Business Support Officer is responsible for the smooth and efficient operation of administrative tasks within the Branch. They are instrumental in the efficiency and effectiveness of Branch activities and the achievement of its strategic outcomes.
The Business Support Officer provides executive support to the Executive Manager SMI, including supporting, managing and coordinating their schedule, contributes to the management of Branch work activities, projects and commitments, and provides secretariat support for Branch and Executive meetings.
The duties of this position include:
1. Providing executive support to the Executive Manager SMI including,
a. managing their email, including drafting responses and organising correspondence for streamlined access;
b. managing their schedule, including planning and prioritising meetings;
c. processing invoices, and reconciling their travel and credit card expenses; and
d. coordinating their travel in conjunction with the finance team.
2. Coordinating the administration and delivery of the branch’s work plan and commitments, including developing the annual work program in consultation with SMI branch members, coordinating its delivery with other branches and organisational commitments, and tracking and reporting progress to the Executive Manager SMI.
3. Providing secretariat support for meetings and steering groups in accordance with applicable Terms of Reference, including coordinating meeting invitations; preparing and disseminating meeting material including papers, minutes, agendas and action items; and briefing Chairs or attendees prior to meetings.
4. Providing procurement and financial management support to the Branch in accordance with PGPA Act requirements through raising purchase orders, processing invoices, coordinating quotations and administering contracts, and assisting with budget preparation.
5. Preparing reports and briefing materials for governance forums and planning sessions ensuring alignment with strategic objectives and compliance requirements, including collating, interpreting and presenting information, and articulating clear and actionable insights.
6. Liaising with internal and external stakeholders to build and maintain strong relationships.
7. Performing administrative functions including coordinating site-wide activities (e.g. events, presentations and training), stationery ordering, administering systems access, and performing annual stocktake.
8. Facilitating recruitment processes within the Branch by requesting the advertisement of vacancies, coordinating and scheduling interviews, scribing and supporting the induction of new Branch members.
9. Collaborating with other Mint Business Support Officers, including attending monthly meetings, suggesting and implementing improvements to administrative processes, and providing support to other Branches as required.
Security clearance
This position requires a Baseline security clearance. The successful applicant will be required to obtain and maintain a clearance at this level.
