The Opportunity
Our Projects, Energy & Infrastructure (PEI) practice group is looking for an experienced Legal Assistant (Legal Secretary) who is looking to take the next step in their career and join us as a Practice Management Assistant.
This role will be based in Melbourne and will support the practice group across both Melbourne and Sydney offices.
The role:
Our Practice Management Assistants (PMA) provide proactive and high-quality administrative and matter management support to partners and lawyers within the practice group, to meet client requirements and deliver exceptional client experience.
Some of the tasks our PMAs complete day-to-day include:
1. Working with partners to identify efficiencies in their financial hygiene.
2. Overseeing the practice group’s monthly billing process including creation of pre-bills, editing, finalising, and posting onto the system.
3. Managing and executing complex billing processes.
4. Assisting with the matter lifecycle and recommending process improvements.
5. Coordinating and producing accurate correspondence including engagement and billing letters.
6. Collaborating with the legal operations team to prepare, manage and streamline client financial reports for partners and lawyers.
7. Supporting the practice to achieve high levels of financial hygiene including analysing, reviewing and improving existing billing and expense management processes.
8. Supporting the team with project rollouts and training initiatives.
9. Assisting partners and lawyers with business development responsibilities.
Skills & experience:
To be successful in this role you will need the following skills:
1. Previous Legal Assistant (Legal Secretary) experience.
2. Ability to decipher financial information.
3. Strong ability to develop relationships with various stakeholders including remotely.
4. Strong matter management experience.
5. Advanced Microsoft Office knowledge and skills.
6. Strong judgement and problem-solving ability.
7. Excellent communication and stakeholder management.
8. Demonstrated experience in dealing with ambiguity and adapting to changing circumstances.
9. Proven ability to learn, develop and implement new ways of working and to adopt new systems.
10. Proven organisational and time management skills with the ability to maintain a high level of attention to detail and organisational skills to prioritise workload and meet deadlines.
