We have two opportunities for experienced administration professionals.
We are looking for applicants who can show initiative and work autonomously and who love contributing and being part of a team. You'll have great communication skills and strong computer skills with an eye for detail.
This position reports directly to the Project Manager and is responsible for the provision of administrative support to the Projects team to ensure successful delivery of minor and major projects. Position Includes:Provide high level administrative and customer support for the project team in a professional, effective, efficient and timely manner.Contribute to and maintain project plans, project schedules, budgets and expenditures.Arrange, coordinate and attend project meetings with the project team, stakeholders and necessary delegates, create meeting agendas, project presentation materials, record meeting minutes and ensure progress against action items is reported.Raise purchase orders for the Projects Team ensuring correct allocation of expenses.Manage Council's project tracking system, ensuring information is up-to-date and data is input in a timely manner and all records are maintained in accordance with Council's record management system.Contribute to Council reports, procurement documents, ensuring compliance with procurement requirements.Being a point of contact for stakeholders, contractors and other relevant delegates, ensuring excellent customer service at all times.Ensure all documentation for the Projects team is filed correctly in Council's records management system in accordance with Council policy.Assist Project Managers with site inspections and progress reporting.Manage contract timelines and schedules including funding reporting deadlines.Ensure all contractors engaged have undertaken contractor induction and appropriate records are maintained.Contribute to the reporting of funding acquittals and project milestones.Work effectively in a team environment creating a great place to work and performance culture through leading by example.Other responsibilities as shall be reasonably associated with or incidental to the above responsibilities or as shall, in the course of the employment, be agreed between the parties as being or forming part of the duties.How do your skills match this job?Your application will include the following questions:
