Executive Assistant to the CEO
About the role
With our current Executive Assistant to our CEO proceeding on retirement we have a rare opportunity for a Unicorn to take her place
* Reporting directly to the CEO this role is responsible for delivering high-level, confidential administrative and secretarial support to the CEO
* The Executive Assistant provides comprehensive assistance in key areas such as calendar management, meeting coordination, travel arrangements, and correspondence handling
* Acting as a primary liaison between the CEO, Board members, and internal and external stakeholders, this position ensures seamless communication and efficient operations
* Additionally, the Executive Assistant contributes by conducting research, preparing detailed reports, and creating professional PowerPoint presentations and drafting other key Group articles
You will be responsible for:
* Administrative and Secretarial Support
* Meeting, Event, and Function Coordination
* Travel Management
* General Administrative Assistance
* Special Projects
We’re on the lookout for someone with:
* Previous experience in similar role for a minimum of 8 years in a medium size business is mandatory
* Well developed Software knowledge and application in a Microsoft Suite with an advanced working knowledge of Word, PowerPoint and Outlook
* Experience with SharePoint would be an advantage
* Experience with Diligent Board Books would be an advantage
* Excellent written and verbal communication skills
* Experience in undertaking research and preparation of monthly board reports, presentations and corporate submissions within a quick time frame
* Experience in business travel and accommodation bookings
* Experience in meeting co-ordination and events management
* Strong communication and interpersonal skills to enable professional interaction with a range of people including Board Members, senior management, external stakeholders and staff
* Highly developed time management skills and demonstrated ability to meet deadlines and to effectively manage multiple tasks simultaneously
* Ability to maintain confidentiality and understanding of commercial in confidence practices
* Ability to handle, defuse and resolve conflict in a range of situations where tact and diplomacy are required
* An eye for detail and accuracy, with a focus on getting things right the first time
* Ability to problem solve by pinpointing key issues and quickly developing workable solutions in line with company expectations
* Professionally presented at all times
* Ability to occasionally travel when required
