Pro-Jax is a well-established, Queensland owned and operated house-raising and re-stumping company who is seeking a Bookkeeper for approx.
10-20 hrs per week.
Reports to – Director and Business Manager.
Sales, marketing, and social media experience would be highly desirable.
This role will be responsible for daily financial duties as well as providing administrative support to our small team.
Position is not defined to these mentioned specific tasks and responsibilities and can change as a part of business development, as need arises or as requested by the Director.
There may be times where you may need to be contacted outside of hours to assist with a financial matter or to answer a pressing question – this will be kept to absolute necessity.
Tasks & Responsibilities General bookkeeping duties including reconciling bank accounts and other general ledger accounts.
Maintain and manage daily and weekly cash flow and budget through an Excel spreadsheet.
Processing time sheets, payroll, superannuation, and leave entitlements.
Allocation of time sheets against correct jobs.
Process employee reimbursements.
Preparing monthly management accounts and reports with commentary.
Preparing and lodgement of payroll tax.
Profit & Loss reporting on jobs.
Updating Works in Progress reporting.
Liaise with External Bookkeeper and Accountant for Annual QBCC Financial reporting for all licences.
Processing of incoming invoices for payment with Job/cost allocation in Xero.
Maintain and allocate Purchase Orders.
Ensure prompt payments to suppliers with payment of invoices through Xero and bank account for approval in accordance with payment schedule.
Follow up with clients as required to ensure prompt payment.
Review and maintain annual insurances i.e., Public Liability, Business and Vehicles Insurances, Workcover Insurance.
Review and maintain relevant legislation related to the role by way of notifying, i.e., Award compliance, personnel documentation.
General Administration Answering phone and directing calls.
Filing and maintaining office records (digital and hard copy).
Archiving of records as required.
Office housekeeping.
Create/maintain business procedures.
Once weekly collect mail.
Monitor email accounts and respond accordingly.
