The Opportunity
UGL is seeking expressions of interest from experienced Project Administrators and Document Controllers for upcoming work on a fast-paced and exciting project in the rail industry.
Key responsibilities include
Project Administrator
Provide administration leadership, support, and direction for the project team.
Issue, receipt, distribution and filing of formal correspondence to the Client and/or Subcontractors.
Timely and accurate recording, distribution and filing of meeting minutes as directed.
Preparation and timely submission of weekly, monthly, and quarterly progress reports.
Collecting, collating, and summarising of timesheet information ensuring correct coding is utilised.
Assist with payroll processing and ensure entries are accurate for both payroll and job costing.
Input of timesheet data and uploading of timekeeping data to SAP for payroll and cost monitoring purposes.
Manage rosters, including data entry and record checking.
Document Controller
Responsible for the document control and managing Document Management systems (DMS) for assigned projects.
Maintain the currency and security of all project registers and information systems in respect of correspondence, drawings, scope and design variations, quality, etc.
Issue and receive controlled copies of information.
Check that all information complies with specified format and standards.
Liaison with various stakeholders (e.g., client, design, and project groups) to ensure correct information is available.
Provide advice on procedures and recommendations for approval.
Requirements to be successful
3-5 years' experience in a similar project-based environment.
Experience working in the construction industry - (rail experience highly desirable).
Strong working knowledge of MS Office, Word, Excel, PowerPoint.
Competent administration and organisational skills relating to the key responsibility areas.
Experience working as a member of an interdisciplinary team.
