The role and you: Lead and coordinate meetings with all stakeholders (internal and external), draft agendas and take accurate and detailed minutes for various meetings.Initiate and lead on identified meeting actions with relevant parties, prepare relevant communiques, following feedback and discussions and manage meeting folders to ensure information is current.Work in partnership with Finance to prepare and submit the Residential Aged Care (RAC) Quarterly Financial Report and assist in the preparation of KPI reports.Support RAC in submitting required legislative data via the My Aged Care portals.Support in the collation of ad hoc surveys/audits required for reporting to Senior Management as required.Partner with our Marketing Team to be the lead communication conduit for RAC and Retirement Living, residents and families.Draft communications and letters as required and proofread and format communications for General Managers.Maintain communication records.Support the General Manager and Project Manager in any project management as required.Coordinate with relevant parties and collate compliance requirements for the Visitor Registration System and ad hoc duties.Maintain the NeRa central waitlist system and database, working in partnership with Residential Aged Care admission coordinators to ensure suitable admission decisions.Coordinate policy and procedure updates and associated documents & support Quality and Compliance in managing the CDMS.Implement the conversion of documents into RAAFA's OneDrive and provide ongoing management and coordination.Coordinate and book any functions/conferences/travel related to the RAC and further stakeholders.Provide support, coordinate, organise and maintain effective filing systems.First point of contact for resident feedback, acknowledging complaints, advising on feedback process and referring to relevant person to action.Lead and coordinate relevant teams to ensure all Seniors' Living websites information is accurate including descriptors and pricing.Undertake other tasks as directed by each General Manager.Comply with all RAAFA Aged Care and Corporate Policies and Procedures to ensure a safe and secure environment for staff, residents and visitors. About you: Advanced Certificate or Diploma in Business Administration is desirable.Excellent knowledge of the Microsoft suite tools, including medium to advanced excel skills.Ability to build well-developed relationships and utilise client liaison/customer service skills to build and maintain effective relationships.Experience in providing high-level support to multiple senior stakeholders.Demonstrated technical competency to effectively maintain systems and data such as CDMS, One Drive, the CRM and NeRA (waitlist management) & the LinkSafe Visitor Registration System (VRS).Ability to support in the delivery of high-quality coordination services in planning of meetings, communications, projects, reporting and initiatives.Competency to manage multiple competing priorities and work with minimal supervision.Highly developed administration skills to prepare documentation and plans and provide general administrative support to maintain smooth daily operations.
