Reporting to the Group HR Shared Services Manager, the Travel Coordinator is the primary point of contact for all Southern Ports employees, including the Executive Leadership Team, and is responsible for booking all travel and accommodation. The role is essential for ensuring smooth and efficient travel experiences, ultimately supporting Southern Ports to achieve its vision.This role is also responsible for providing guidance and assistance with all processes to procure, implement, and train staff in the use of the new travel system.This role is available in Esperance, Albany, Bunbury, or West Perth, with a start date between late November and early December 2024.Key responsibilitiesOrganising flights, accommodation, ground transportation, and itineraries for employees.Secure the best rates and amenities by negotiating with airlines, hotels, and car rental companies.Develop and manage travel procedures that align with Southern Ports' travel needs and budgets.Administer and provide support to all employees in the use of Southern Ports' travel and expense claims platform (Nintex).Manage travel-related expenses and reimbursements, ensuring compliance with Southern Ports procedures and delegations.Manage travel-related emergencies or changes, such as flight cancellations or delays, providing timely solutions to minimise disruption.Create, maintain, and administer relevant files and travel-related data.Research and implement sustainable travel options to support Southern Ports' Sustainability Plan.Experience and Knowledge3-5 years of related experience.Familiarity with airline and hotel reservation systems and travel-related regulations.Proficiency in travel software, strong negotiation skills, and the ability to handle multiple travel arrangements simultaneously.Demonstrated relevant experience with Microsoft Office programs such as Word, Excel, and Outlook.Proven experience in operating in an area of competing demands and priorities.Experience in identifying and initiating process efficiencies and implementing changes.High level of customer service with experience arranging travel locally and interstate.Strong interpersonal skills and ability to maintain a positive attitude.Strong organisational skills, the capacity to successfully manage competing priorities, maintain attention to detail, and meet deadlines.RequirementsTo apply, please submit your application through our advertisement.
