Project Coordinator
Location: Brisbane (Hybrid, 2-3 Days in Office)
Term: 12-Month Fixed-Term Contract with Potential for Extension/Permanent
About the Role:
Our client, a market leader & pioneer of their industry, is seeking an experienced Project Coordinator to join a dynamic team focused on delivering impactful IT projects.
This is a fantastic opportunity for a detail-oriented and highly organised individual to contribute to the delivery of impactful IT projects, including the development of a Quoting Management System and the future replacement of a Job Management System. Your role will be key in ensuring projects stay on track through strong administration and effective coordination.
As the Project Coordinator, you will focus on the organisational and administrative aspects of the project, ensuring that timelines, tasks, and documentation are meticulously managed. This role is perfect for someone who excels at administering tools, tracking progress, and providing consistent support to keep things moving smoothly.
Key Responsibilities:
* Project Administration & Task Management:
o Administer project tools such as JIRA, Monday.com, and Gantt charts to track progress, manage tasks, and ensure alignment across project teams.
o Create and maintain project schedules, manage boards, and update task statuses to ensure deadlines are met.
o Assist in preparing and distributing regular status updates, project timelines, and task lists.
o Organise and maintain all project documentation, ensuring consistency and accuracy across all materials.
* Coordination & Support:
o Ensure all project tasks and action items are clearly defined, tracked, and completed on time.
o Manage project boards, schedules, and milestones in tools like Monday.com and JIRA, ensuring that all team members are aligned and aware of deadlines.
o Provide consistent administrative support to the project team, including managing calendars, scheduling meetings, and tracking deliverables.
o Maintain up-to-date documentation, including meeting minutes, reports, and task progress updates.
* PowerPoint & Reporting:
o Create clear and concise PowerPoint presentations for project updates and executive reporting.
o Assist in compiling regular project progress reports, updating stakeholders with relevant information through consistent and professional presentations.
o Ensure that PowerPoint slides and reports are aligned with project goals, milestones, and deliverables.
* Project Plan Management:
o Utilise Gantt charts or MS Project to develop and maintain detailed project schedules, monitor progress, and update task dependencies.
o Track project timelines closely, ensuring that all milestones and deadlines are met and that any delays are identified and communicated early.
* Documentation Control & Process Efficiency:
o Organise and ensure the proper filing of all project-related documents, including contracts, reports, meeting minutes, and project plans.
o Regularly update project documents, ensuring they are accurate, accessible, and current.
o Act as a key point of contact for project documentation, ensuring all materials are properly stored and easily accessible.
* Workflow Coordination:
o Ensure that all project tasks are progressing smoothly by identifying potential bottlenecks and proactively addressing issues.
o Coordinate internal team actions and ensure that any issues, roadblocks, or delays are swiftly resolved.
o Maintain constant oversight of task completion and ensure that everything runs on schedule, keeping the wheels of the project greased and moving forward.
What We're Looking For:
* Proven experience as a Project Coordinator or in a similar administrative/coordination role, with a focus on strong organisational and task management skills.
* Strong experience with administrative tools like JIRA, Monday.com, Gantt charts, and PowerPoint.
* Highly organised, with the ability to manage multiple tasks and keep the project on track.
* Detail-oriented with strong focus on maintaining accurate documentation and ensuring consistency across all project materials.
* Strong problem-solving abilities with a proactive approach to addressing delays or challenges.
* Excellent communication skills to prepare reports and update project documents for internal teams and management.
Preferred Experience:
* Experience using JIRA and Monday.com to manage tasks and timelines.
* Familiarity with Gantt charts via excel or within MS Project and experience in developing and managing project schedules.
* Previous experience supporting IT projects or system implementations is a huge plus.
