You will work closely with Executive Assistants and Coordinators, completing critical day-to-day tasks, particularly in peak periods or periods of staff leave.Harnessing your enthusiasm, agility and attention to detail will be key as you juggle diaries, priorities and projects, with no two days looking the same.Reporting to the Executive Assistant, Operations, your responsibilities will cover:Management of merchandise inventory, ensuring adequate stock levels and timely restocking.Coordination and set up of events, team offsites and partner events, including catering, room layout, IT, etc.Assisting with travel bookings, particularly group and urgent travel, and providing coverage and support to the Travel Coordinator as required.Supporting with Executive Assistant responsibilities during periods of leave and peak periods, ensuring continuity of support with calendar management, travel, minute taking, printing, binding, and other ad hoc support for senior executives.Assisting with procurement-related tasks, providing coverage and support to the Procurement Coordinator as required.Providing regular reception back-up cover, ensuring a professional and welcoming environment for visitors and staff.Other team administration and project requests, as required.QualificationsAbout YouAt Minderoo Foundation, our values are at the heart of everything we do.
They inform our work, our interactions, and our decision making, so first and foremost we are looking for someone who aligns with our values and is passionate about the work we do.In terms of your background and skills you will have:A Diploma in Business Operations with 2-5 years' experience in administration support roles.Proficiency in Microsoft Office Suite, including Outlook, SharePoint, Excel, PowerPoint and Microsoft Teams.Experience managing complex travel bookings and managing executive calendars.Experience with procurement and expense management platforms desirable.Exceptional oral and written communication skills, with experience engaging with all levels of an organisation, particularly senior executives.Demonstrated ability to build relationships and collaborate effectively with stakeholders.Ultimately you will be a team player with a strong work ethic, who thrives on challenges and embraces change with a positive mindset.
