Job Summary:
The Administrative Assistant role is within the Operational Procedures Guidance and Training (OPGT) team. Reporting to the Assistant Director, the Administrative Assistant will work as part of a small team spread across the country that is responsible for the development of procedures and the production of learning material for operational staff.
Following a transformation of the operational procedures, a review of all material is required to ensure that the correct versions are published, duplicate material is removed, and the archiving of retired material is complete. The Administrative Assistant will also provide general administrative support to the team.
Key Duties:
1. Review Microsoft Word documents to ensure the correct versions are used.
2. Convert Word documents to PDFs using Adobe Acrobat.
3. Publish PDF documents and web versions on the team's intranet site (SharePoint).
4. Review and update documents for correct terminology.
5. Create intranet pages and link them to other site pages/documents.
6. Audit published materials against tracking logs.
7. Consolidate archived materials across SharePoint sites.
8. Identify and remove duplicate documents.
9. Create flowcharts for published procedures using Visio.
10. Conduct an initial review of published video materials to identify outdated references.
11. Take meeting notes for the team.
12. Assist in monitoring the team's email inbox.

1. Strong attention to detail.
2. Proficiency in Microsoft Word, SharePoint, Adobe Acrobat, and Visio (training provided).
3. Ability to review and update documents for accuracy.
4. Strong organisational and administrative skills.
5. Ability to work independently and within a team.
6. Good communication skills and the ability to liaise with stakeholders.
