The Role & Responsibility:
The role on hire is for a full time Project Administrator at an annual salary set between $70,000 to $80,000, depending on experience plus superannuation.
* Provide administrative support for coordinating Voice and Data projects, ensuring seamless execution from start to finish.
* Assist the team with administrative and coordination tasks to ensure projects adhere to scope, schedule, and budget requirements, while effectively managing risks and resolving issues.
* Collect and analyze data related to projects and services, and report on progress and outcomes to stakeholders.
* Coordinate activities among various teams to ensure alignment with project goals and timelines.
* Manage the negotiation, review, and oversight of contracts related to Voice and Data services.
* Ensure compliance with contractual obligations, industry standards, and relevant local, state, and federal regulations.
* Obtain necessary permits and approvals for project execution.
* Facilitate communication among project stakeholders, including internal teams, external vendors, regulatory bodies, and community members.
* Monitor and manage project budgets, including expense tracking, cost forecasting, and financial reporting.
* Implement and oversee quality assurance processes for Voice and Data service installations.
* Ensure projects meet industry standards and specifications.
* Maintain accurate project documentation, including contracts, progress reports, and technical specifications.
* Generate regular status reports on project milestones and address any issues that arise.
* Manage the project documentation system, ensuring records are filed and accessible in compliance with policies and procedures.
* Serve as the primary contact during contract and program negotiations, engaging stakeholders in decisions involving legal, regulatory, and cost considerations.
* Maintain records and files for all project-related correspondence and documentation.
* Ensure contracts and proposals are accurately entered into organizational databases and securely maintained.
* Coordinate project meetings, including scheduling, preparing agendas, and taking minutes.
* Oversee the maintenance of project file directories and document management processes.
* Support continuous improvement initiatives and assist with urgent and complex matters as needed.
The Requirements:
* At least a diploma or higher, IT Background preferred.
* Minimum of 2 years' experience in a similar administrative or project coordination role.
* At least 2 years' experience managing projects and agreements related.
* Proficiency in project management tools and software such as Microsoft Project, Jira, or other relevant platforms.
* Strong financial acumen for budget development, monitoring, and reporting.
* Ability to analyse project costs and financial implications.
* Excellent organizational, time management, and delivery skills.
* Proven ability to follow instruction, perform under pressure and meet deadlines.
* Demonstrated ability to successfully undertake duties and achieve agreed objectives within a team environment as well as independently applying own initiative.
* Demonstrate ability to make decisions and act with initiative to identify and resolve problems.
