Established in 1999, we provide specialist Computer Systems Engineering, Software Engineering, and Modelling, Simulation and Analysis (MS&A) services in support of Defence Research and Development (R&D) programs.With over 50 staff, we support research, development, and sustainment of advanced capabilities across Air, Land, Sea, Joint, and Intelligence projects.The RoleThe Project Administrator will manage a variety of administrative tasks, supporting project teams and ensuring smooth operations across multiple projects. This role requires proficiency in managing project documentation, coordinating communications, maintaining project management tools, and assisting with invoicing and billing.MAIN RESPONSIBILITIESProject AdministrationCreate and maintain templates for project billables, ensuring accurate data input for new projects.Maintain and manage official documents, such as Purchase Orders (PO) and Non-disclosure Agreements (NDA).Perform comprehensive audits of projects, ensuring compliance with project requirements and accuracy of documentation.Liaise with the Contract Manager regarding client invoicing and milestone payment readiness.Assist with final funding calculations and timesheet adjustments.Finance SupportAssist with accounts payable and receivable functions, including debtor management and overdue debt collection.Manage insurance renewals and associated financial reconciliations.Support with payroll processing, ensuring accuracy and timeliness.General Administrative TasksProvide administrative support to senior management and other staff as needed.Manage administrative tasks such as electronic filing, record-keeping, data entry, and expense tracking with confidentiality.Assist with HR Administration tasks.Ensure confidentiality and security of sensitive information.QUALIFICATIONS / EXPERIENCE / ATTRIBUTESMinimum of 5 years’ experience in a senior administrative role or similar.Highly proficient in MS Office (Word, Excel, PowerPoint, and Outlook).Experience supporting executive teams, managing confidential communications and sensitive information.Strong organizational skills with the ability to prioritize tasks effectively.High attention to detail with a focus on accuracy.Excellent problem-solving skills and proactive approach to challenges.Strong interpersonal and communication skills.Ability to work with discretion and maintain confidentiality.PRE-EMPLOYMENT CONDITIONSThe successful candidate must provide proof of Australian Citizenship to gain appropriate Defence Security Clearances.If you enjoy working in a dynamic environment and possess excellent time management, organization, and communication skills, we encourage you to apply.
