About the team
The Credit Card, Overseas Networks, Fleet, Insurance, Travel and Expense8 Section (CONFITE8) is part of the Financial and Shared Services Branch within the CFO Division.
The section has responsibility for providing the following services to the department:
* Credit card policy, administration, and support;
* Overseas travel policy, bookings, and system administration;
* Domestic Travel policy, support, and advice;
* Fleet management policy, administration, and support;
* Comcover Insurance management;
* Overseas Counsellors support and administration;.
* Expense8 business support;
* Business improvement relating to functions; and
* Change and comms relating to CONFITE8 and financial services.

What you will do
There are multiple positions available at the APS 5 level within the section, on an ongoing basis.
* Follow-up, action and respond to complex enquiries over the phone and via email, maintaining a strong customer service focus.
* Identifying key issues and assist with finding solutions to these issues.
* Engage with internal and external stakeholders, as required.
* Contribute to business process/continuous improvement activities including user testing.
* Communicate effectively with internal and external stakeholders, contributing to a culture of high-quality service delivery.
In addition to the above, in the following roles your duties will include, but are not limited to:
APS5 Travel Officer
* Co-ordinate overseas travel bookings for department staff including SES and Executive
* Co-ordinate passport and visa applications.
* Assist with audit, compliance and reporting.
* Assist with developing and maintaining the department’s travel policies and procedures.
* Provide advice and training to individuals and Divisions on travel policies and processes, expense8 and the international travel approval system.
* Build and maintain key relationships with SES and Executive EA/EO group.
* Assist with preparation of travel reports and input into emissions reports, senate estimates etc.
APS5 Fleet Officer
* Record and maintain correct data regarding the department’s vehicle fleet.
* Support the management of fleet vehicles for divisions by ensuring vehicles are used and maintained within policy, and providing advice and assistance where required.
* Track and analyse fleet performance metrics for making recommendations for vehicle selection, maximising usage and ensuring compliance with policy.
* Provide quotes and advice to divisions on selecting the most appropriate vehicle to meet their business needs and in line with whole of government policies.
* Assist with developing and maintaining the department’s fleet policy and procedures and electric vehicle strategy.
* Process fleet invoices and end of month journals to account for fleet leases.
* Assist with preparation of fleet reports and input into emissions reports, senate estimates etc.
APS5 Credit Card and Insurance Officer:
* Arrange applications and credit card management such as dispersing credit cards cancellation, suspension, limit variation etc.
* Verification of employee reimbursements.
* Complete daily and EOM credit card reconciliations and processes.
* Assist with audit, compliance tasks and reporting.
* Provide training to individuals and Divisions on credit card policies and processes and Expense8.
* Maintain expatriate and asset schedule for insurance purposes, such as: changes to lease arrangements, addition of high value assets during the year, change in locations, assets in transit, expatriate details.
* Assist with incident and claims management.
* Complete Comcover Annual Insurance Renewal Questionnaire.
APS5 Project Officer
* Assist with expense8 system administration tasks.
* Undertake research and analysis to develop solutions for process improvement in CONFITE8 activities.
* Assist with system and process improvements and upgrades.
* Assist with change management for projects/system changes including preparing and delivering high quality communication and training products.
* Assist with UAT management including scheduling, scripts for testing, issues log etc.
* Assist with preparing/updating/reviewing procedures documentation and process maps.
Eligibility
To be eligible for employment in the APS and the department, candidates must be Australian Citizens.
Positions require a Baseline security clearance and successful candidates will be required to obtain and maintain a clearance at this level.
Notes
Due to operational requirements the roles are Canberra based and will require staff to work in the office at least 3 days per week.
A merit pool may be established and used to fill future vacancies within 18 months from the date the vacancy was first advertised in the Gazette.
